Membership and Membership Card Tasks

Memberships have several tasks you can use, such as Transfer to transfer the membership from one constituent to another. When you view membership benefits and sent items (including membership cards), you have several actions you can perform with the membership cards.

On the Summary tab, in the Other members grid, include additional members for the membership.

Tip: In the Other members grid, if you select an other member as the primary member, most of the functions on the Summary tab also appear under Tasks for the other member.

Go to member: To navigate to the membership details page for an other member, select Go to member.

Add: To include an additional member, such as a spouse, select Add. A search screen appears for you to find the constituent to include in the membership.

Mark as primary: To designate an other member as the primary member, select Mark as primary. A confirmation message appears. Select Yes.

To designate the original member as the primary member again, under Tasks, select Mark as primary member. A confirmation message appears. Select Yes.

Remove: To remove other members from the grid, select Remove. On the screen that appears you can select to create a separate membership for the other member. If you do this, you can transfer active membership cards to the new membership. Select Save.

To remove the other member from the grid, do not select a checkbox and select Save. The member removes, but remains a constituent in the database.

Refresh List: To make sure you have the latest information, select Refresh List.

In the Membership cards grid, you can issue new cards for members, print individual cards, and assign numbers to cards.

Issue new card: To issue a new membership card for the constituent or other members, select Issue new card. On the Add a membership card screen, select the member and name format for the card. Next, enter the date the card expires and any other information to print on the card.

Print: To print a membership card for the first time or print a card again, select Print. For information about printing cards, see Print Membership Cards.

Tip: The Status column for membership cards includes an Issued, Printed, or Canceled status. When the status of a card is Printed, you cannot re-print the card until you cancel the card or clear the print status for the card.

Clear print status: To print a membership card again, use Clear print status to reverse the status. A confirmation message appears. Select Yes. This changes the status to “Issued,” which allows you to print the card again.

Assign card number: To associate a card number with the membership card, select Assign card number. On the screen that appears, in the Card number field, enter the number for the card. Select Save.

Edit: To edit membership card information, select Edit. On the Edit membership card screen, edit the member and name format for the card. Next, edit the date the card expires and any other information to print on the card.

Cancel: To cancel a card, select Cancel. When you cancel a card, you can note the reason for the cancellation in the membership card Comments field. For example, you can enter “Lost.”

Delete: To delete a card, select Delete.

Filter: As the membership card list expands over time, it may be difficult to find a particular card. To narrow the list, select Filter. A Member field appears for you to narrow the list by constituent. Select the status you need and select Apply. To remove the Status field, select Filter again.

Refresh List: To make sure you have the latest information, select Refresh List.
