Event Batch Basic

The table below explains the fields included in the Event Batch Basic template. You can use this batch template to add or import multiple new event records. If a field is not required, you can leave it blank as necessary. For additional information about the event data entry fields, see the Events Guide.

Field

Description

Name

Enter the name of the event. This field is required.

Start date

Enter the date of when the event starts. This field is required.

Appeal

Enter the name of the appeal to associate with the event.

Capacity

Enter the number of participants the event can accommodate.

Category

To help classify the event, enter its category or type such as Reception or Sporting event.

Contact

Enter the name of the constituent who serves as a contact at the location of the event.

Coordinators

Enter the name of the staff member who serves as an event coordinator for the event.

Description

Enter a description to help further identify the event.

End date

Enter the date on which the event ends.

End time

Enter the time at which the event ends.

Expenses—Type

Enter the type of expense to add for the event, such as Supplies.

Expenses—Vendor

Enter the name of constituent who serves as a vendor that performs the service associated with the expense.

Expenses—Budgeted amount

Enter the total amount budgeted for the expense.

Expenses—Agreed amount

Enter the total amount agreed upon with the vendor associated with the expense.

Expenses—Amount paid

Enter the total amount paid toward the vendor associated with the expense.

Expenses—Due date

Enter the date when payment for the expense is due to the vendor.

Expenses—Date paid

Enter the date your organization pays the vendor associated with the expense.

Expenses—Comment

Enter any additional information about the expense.

Location

Enter the name of the location where the event occurs.

Prices—Registration type

Enter the type of registration price to associate with the event, such as Family or Corporate sponsor.

Prices—Name

Enter the name of the price associated with the registration type.

Prices—Registration count

Enter the total number of registrations to associate with the registration type. For example, for a registration type of Golf Foursome, enter 4.

Prices—Registration fee

Enter the amount a registrant pays to attend the event as the registration type.

Prices—Cost

Enter the total cost for the registration type. For example, the total cost of the event including catering and facility rental fees, divided by the total number of registrants of the registration type.

Start time

Enter the time at which the event begins.

Tasks—Owner

Enter the name of the staff member assigned the task.

Tasks—Name

Enter the name of the task to associate with the event, such as Call the caterer.

Tasks—Due date

Enter the date by which the owner must perform the task.

Tasks—Comment

Enter any additional information about the task.
