Transaction Search Screen

The table below explains the items on the Transaction Search screen. For information about how to access this screen, refer to Search for Transactions.

Screen Item

Description

Last/Org/Group name

To search for revenue from an individual constituent, enter the constituent’s last name. To search for revenue from an organization constituent, enter the organization’s name. To search for revenue from a constituent group or household, enter the name of the group or household. If you are unsure of how to spell a name, enter the first few characters or letters.

First name

To search for revenue from an individual constituent, enter the constituent’s first name. If you are unsure of how to spell the constituent’s name, enter the first few characters or letters.

Lookup ID

To search for revenue from a constituent, enter the constituent’s lookup ID.

Receipt number

To search for revenue that has already been receipted, you can search by its receipt number. The program generates receipt numbers automatically when you run a receipt process and stores the receipt number on the revenue record.

Revenue ID

To search for revenue based on a known Revenue ID number, enter the number here.

End-to-end ID

In a Direct Debit Return batch, if you manually search for transactions and the "Europe (SEPA)" banking system is enabled in Banking systems in Treasury, you can search using the End-to-end ID field.

Note: In End-to-end ID field on the Direct Debit Payment Search screen, you can enter the first few characters of the ID only and all matches beginning with those characters are returned.

Match all criteria exactly

To display only results that match the search criteria entered exactly, select this checkbox. When you select this checkbox, a revenue record does not appear under Results if it does not match the criteria exactly.

Date from and Date to

To search for revenue by the date it entered your database, enter the date ranges.

Transaction type

To search for revenue by the transaction type, select the desired type such as Payment, Pledge, or Recurring gift.

Revenue type

To search for revenue by the revenue type, select the desired type such as Gift or Event registration.

Payment method

To search for revenue by how the constituent paid the revenue, select the method of payment. For more information about payment methods, refer to Payment Methods.

Batch number

To search for revenue by the batch through which it entered your database, enter the batch number.

Search in

When you select Show advanced search options, this field appears. By default, all constituent types are selected and included in the search. To change the constituent types included in the revenue transaction search, clear the checkboxes as needed.

Check nickname

When you select Show advanced search options, this checkbox appears. To search nicknames to find revenue from a constituent, select this checkbox. For example, if you enter a First name of “Charlie” and select this checkbox, revenue from constituents with a first name or nickname of Charlie appear in the Results grid.

Check aliases

When you select Show advanced search options, this checkbox appears. To search aliases to find revenue from a constituent, select this checkbox. For example, if you enter a First name of “Charlie” and select this checkbox, revenue from constituents with a first name or an alias of Charlie appear in the Results grid.

Include inactive

When you select Show advanced search options, this checkbox appears. To include inactive constituents when you search for revenue, select this checkbox. When you select this checkbox, revenue from inactive constituents that match the criteria entered appear in the Results grid.

Check alternate lookup IDs

When you select Show advanced search options, this checkbox appears. To include alternate lookup IDs for constituents when you search for revenue, select this checkbox. When you select this checkbox, revenue from constituents with alternate lookup IDs that match the criteria entered in the Lookup ID field appear in the Results grid.

Only search primary addresses

When you select Show advanced search options, this checkbox appears. To include only the primary addresses from the Contact tab of the constituent records when you search for revenue, select this checkbox and enter the primary address information in the address fields.

Include deceased

When you select Show advanced search options, this checkbox appears. To include deceased constituents when you search for revenue, select this checkbox. When you select this checkbox, revenue from deceased constituents that match the criteria entered appear underResults.

Results

Once you enter your revenue criteria and select Search, the revenue records that meet the criteria appear in the grid. If more than 100 records match the criteria entered, only the first 100 records appear.

To view a revenue record, select its row in the grid.
