Special Access

Faculty and staff need special access to view:

  • Visa status

  • Visa type

  • Visa issue date

  • Visa expire date

  • Visa number

    Note: When you view this on a Contact Card, the data will initially appear masked by asterisks (***).

  • Passport expire date

  • Passport number

    Note: When you view this on a Contact Card, the data will initially appear masked by asterisks (***).

  • Social security number

    Note: When you view this on a Contact Card, the data will initially appear masked by asterisks (***).

  • National identification number

    Note: When you view this on a Contact Card, the data will initially appear masked by asterisks (***).

View Masked Data

If you have access to view a number on a Contact Card, but the data appears masked by asterisks (***), you can peek behind the mask.

  • To view this data, Edit the Citizenship/Resident or General Information content.

  • Alternatively, use a user list, student list, or candidate list. The data is visible (unmasked) in these lists for users with special access.

Note: For security reasons, if you impersonate a user who has special access, the sensitive information will be hidden from you (the impersonator). Social security numbers(SSN) or national identification (NI) numbers are masked (***) in all advanced list outputs, including spreadsheet exports and API outputs.

Tip: As of July 21, 2026, visa number and passport numbers are also masked in all advanced list outputs, including APIs.

Identify Who Has Access

To quickly identify all users with special access, go to the User List in Core and select to show a Column for Special Access.

Select a name from the list to go to the user’s profile and change their Access.

Grant Access

  1. As a platform manager, select Core.

  2. Select People finder.

  3. In the Type a name field, enter and select the name of the individual you want to work with. The selected individual's profile page appears.

  4. Select Access.

  5. Select Grant special access.

  6. Confirm the change.

Revoke Access

  1. As a platform manager, select Core.

  2. Select People finder.

  3. In the Type a name field, enter and select the name of the individual you want to work with. The selected individual's profile page appears.

  4. Select Access.

  5. Select Revoke special access.

  6. Confirm the change.
