Access to communication templates for mail merge jobs
Platform managers and admissions managers can determine which roles and users have access to communication templates for mail merge jobs. You'll configure access to templates for each application type(or category description) by role, user, or both.

Select Core.

Select Communication.

Select Mail merge.

Select Template access. A list of template applications appears. For each application type, it shows the number of roles and users with any access. Select a number to view details or to change who has access and the type of access.
Only roles and users who have security roles and tasks for mail merge appear as options for template access.
If a user has multiple roles and the roles have different access, then a role or setting that grants access will override a role that doesn't grant access. Thus, the user will have the highest access specified by their roles and settings.
Tip: To select recipients in bulk, you'll also need access to the corresponding basic lists and advanced lists.

Find an application type in the list.

On its row, select the number of roles with access.

Alternatively, select the ellipsis (...) and then select Manage roles.

For each role, select the type of access role members should have for communication templates.

Create and use master - Users with this role can create, access, and use master templates in this application type.
They can also create, access, and use their own user templates in this application type.

Create and use own- Users with this role can use the master templates in this application type but not create them.
They can also create, access, and use their own user templates in this application type.

Use master only - Users with this role can use the master templates in this application type but not create them.
They can't create, access, or use their own user templates in this application type.

No access - Users with this role can't create, access, or use any templates in this application type.

Find an application type in the list.

On its row, select the number of user with access.

Alternatively, select the ellipsis (...) and then select Manage users.

Search for user. You can enter search criteria by name or security role.

Select one or more users from the search results.

Select Add to users. They're added to the list of users for the template application type.

To remove a user's access, find them in the list and then select Delete (trash icon).

For each user who should have access, select the type of access they should have for communication templates in this application type.

Create and use master - Users with this role can create, access, and use master templates in this application.
They can also create, access, and use their own user templates in this application type.

Create and use own- Users with this role have the ability to use the master templates in this application type, but not create them.
They can also create, access, and use their own user templates in this application type.

Use master only:Users with this role have the ability to use the master templates in this application type, but not create them.
They can't create, access, or use their own user templates in this application type.
