Use Lists for Mail Merge
The mail merge feature must be enabled in each basic and/or advanced list you wish to use in order for the list to display in Step 2 of the mail merge job.

Select Reporting.

Select Manage lists.

Select Manage basic and advanced lists.

Find the list using the category or filters at the top of the page.

Select the Edit link corresponding to the basic list.

Select Enable mail merge.

Select Save.

The user selecting the list topic in step 2 must have a minimum of run access to the list.

Most of the non-Admissions list topics are supported in the constituent mail merge feature. However, lists using the following topics will not appear in step 2 of the mail merge:

Select Reporting.

Select Manage lists.

Select Manage basic and advanced lists.

Use the category, filters, or search at the top of the page to find the list.

Select Edit corresponding to the advanced list.

Select Output options.

In the Mail merge drop down list, select the User base. User ID the mail merge should be based on.

The user selecting the list topic in Step 2 must have a minimum of run access to the list.

A User base.user ID option must be selected in the Output Options tab , Mail merge (drop down list) when creating or editing the advanced list. You can select any object(s) when creating the list. As long as you can identify the user in Output Options, the list will be available in mail merge.
Note: If this is an Admissions mail merge, the Mail Merge dropdown must be set to Candidate.Prospect Instance ID.
