Set Grade Access

Gradebook Managers can manage access to gradebook grades on behalf of teachers or they can give teachers the ability to control gradebook access for their own classes.

The following groups can have access to view students’ gradebook grades:

  • Advisors: this group allows advisors to view their own advisees’ gradebook grades.

  • All School Advisors: this group allows all users with the advisor role to view all students’ gradebook grades.

  • Dorm Supervisors: this group allows all users with the dorm supervisor role to view all students’ gradebook grades.

  • Parents: this group allows parents to view their own children’s gradebook grades.

  • Students: this group allows students to view their own gradebook grades.

  • Coaches: this group allows coaches to view all students' gradebook grades.

Note: Gradebook grades will need to be viewed from the Student's progress page.

To establish gradebook access, the following steps must be repeated for each school level and marking period.

  1. In Academics, select Grades, then Grading setup, then Gradebook settings.

  2. Under Marking period & grade access, select the appropriate school year and school level.

  3. Select the context menu next to the appropriate marking period, then select Edit marking period.

  4. For each Grade access group, choose either Set access globally to manage gradebook access as the administrator or Have teachers set access to allow teachers to manage access for their own classes.

    Tip: If Have teachers set access selected, teachers manage gradebook access for individual classes from within their gradebooks by selecting Settings, then choosing the desired options under Gradebook access.

  5. With Set access globally selected, choose from the following access options for Assignment grades, Assignment comments, Marking period cumulative gradebook grades, and School year cumulative gradebook grades:

    • Hide: the group will not have access to view the information.

    • Always Show: the group will have access to the information immediately and indefinitely.

    • Show only during these dates: enter the start and end dates when the group will have access to the information.

  1. When finished, select Save & exit.
