Diplomas

Diploma managers can create and edit Diplomas to associate with Students. You can sort diplomas by any of the available fields by selecting the header for the field you want to sort by and can filter your diplomas by status.

Note: Diploma features are only accessible to users who have been set up with Blackbaud ID (BBID). For more information on BBID settings, see the help topic Blackbaud ID Authentication for Education Management.

In order to access these features, a school administrator will need to assign the Diploma Manager role to an employee.

  1. Select Core.

  2. Select Security.

  3. Select Roles.

  4. Find the Diploma Manager (Application type) role in the list.

  5. Select the ellipsis (...) at the start of the row.

  6. Select Manage role.

  7. Select Members and then Add. Any employees you add to the Diploma Manager role will have access to Diploma and Area of Study features in Academics.

  1. Under the persona menu, select Academics.

  2. Choose Grades, then Grading setup.

  3. Select Diploma.

  4. Select the plus sign (+) to add a new Diploma.

  5. Enter in the following information:

    • Name: Either choose from the existing names or select + Add new to create a new one.

    • Description(optional)

    • Valid from: This date reflects when the diploma will start being valid.

    • Valid to: This date reflects when the diploma will stop being valid.

  6. Select Save.

  2. Choose Grades, then Grading setup.

  3. Select Diploma.

  4. Use the context menu for the diploma to choose Edit.

  5. Make changes as needed.

  6. Select Save.

  3. Select Diploma.

  4. Use the context menu for the diploma to choose Delete.

  5. Select Yes to confirm.

  1. From the persona menu, select Academics.

  2. Select Grades, then Grading setup.

  3. Select Diploma.

  4. Use the context menu for the diploma to choose Copy.

  5. Enter the following information:

    • Name: This is a required field. You can add new Names with the following steps:

      • Select + Add new.

      • Enter a Name and Abbreviation. These are required fields.

      • Select Save.

    • Description(optional)

    • Valid from: This date reflects when the diploma will start being valid.

    • Valid to: This date reflects when the diploma will stop being valid.

    • Credits needed: The total number of credits needed to complete the diploma.

    • Institution credits: Credits that need to be taken at the school. These credits cannot be earned at other schools.

  6. Select Save when finished.

Diploma managers can use Requirements to associate courses with a Diploma. These Requirements will need to be completed in order for a student to complete the Diploma.

Select the name of the Diploma in order to add or edit Requirements for that specific Diploma. To learn more, see the help topic Requirements.

Diploma managers can associate a diploma with multiple students in bulk. You can use this feature to start a group of students using graduation requirements.

  1. Go to Academics.

  2. Select Grades, then Grades management. The Overview tab will open by default.

  3. Select + Add diploma to a group. This will open a new set of menu options.

  4. Choose which type of category you will use to select students:

    List: Select an existing Student List.

    Tip: To create or edit Student Lists, go to Grades in the main menu and select Manage lists. For more information about this process, see the help topic Manage Lists.

    Grade level: Select one of the grade levels at your school.

  5. Select Next.

  6. Use the search bar to select a Diploma to associate with the students.

  7. Select Next.

  8. The final step is a verification check. Once you have confirmed that the selected students and the name of the diploma are accurate, select Finish. A notification will appear at the bottom right of your browser window indicating that the process has begun.

When the process is complete, the diploma you selected will be applied to students in the grade or list you selected. The students can now apply credits toward completion of the diploma.

You can customize the message that displays to students and faculty when they use the Compare Requirements feature on a student profile.

  1. Under the persona menu, select Academics.

  2. Select Grades, then Grading setup.

  3. Select Diploma.

  4. Select Compare requirements settings.

  5. Enter the text you would like to display at the top of the Compare Requirements modal. For example:

    "This comparison tool will not affect your existing selections. Please contact the registrar to make changes."

  6. Select Save.
