Manage Current Student Enrollments (Promote, Repeat, & Graduate)

As part of their annual procedures, platform managers manage the enrollment of current students.

Current students may be promoted if the school only has one session per year, graduate, or repeat a classification. If your higher ed school has multiple sessions per year, use the Create Future Enrollment import instead of promoting students.

Update Current Enrollment for a Single User

Platform managers can withdraw individual students (such as those who move mid-year) or change a current student into an incoming student (deferred enrollment).

  1. Select Core.

  2. Use the People finder to go to a student's user profile.

  3. Select Access .

  4. Under Personas, select to Edit the student role.

Update Current Enrollments in Bulk

Tip: An data import manager can also update enrollments in bulk using a data import.

  1. Select Core.

  2. Select Users.

  3. Select Manage student enrollments.

  4. Select a School year.

  5. For lower classifications, select Promote.

  6. For each student, select a single option. Alternatively, select Check all to apply the same option to all students.

    • Select Promote if the student is moving ahead to the next classification.

      Note: Students in italics don't have an enrollment record for next year. For these students, select Promote.

    • Select Repeat if the student is repeating the classification.

    • Select Withdraw if the student is withdrawing.

    • Select No change if the student's status should not change.

    Note: When you select students, an * next to a name indicates the student isn't currently enrolled but is still associated with their original graduation class.

  7. Select Next.

  8. Review the list of students who will be promoted. Then select the classification to which the students will be promoted.

  9. Select Next.

  10. Review the list of students who will repeat the classification .

  11. Select Next.

  12. Review the list of students to withdraw.

  13. Enter a depart date for the withdrawn students.

  14. Select whether they should be withdrawn Immediately or whether the change should be Effective at a later date and time.

  15. From the Role menu, select students to move to the Past student role or to the Alum role.

    Note: If you move withdrawn users to the Alum role, they will have the same access and rights as all other alums.

  16. Select Remove access if withdrawn students should no longer be able to log in.

  17. Select Graduate with class if withdrawn students should graduate with their class.

  18. Use the Default row to apply the information to all withdrawn students.

  19. Select Next.

  20. Review a summary of the bulk updates.

  21. Select Save & exit.

  22. Repeat for each lower classification.

  23. For the highest classifications, select Graduate.

  24. Students will be reclassified when they graduate. Select whether to replace their roles as current "students" (or "past students") with an "alum" role or a clone of the alum role.

  25. Determine whether to Include past students (such as those who moved mid-year and are no longer enrolled) as part of the graduation class.

  26. If current students live with family (who share phones and addresses) and will likely live more independently when they graduate, select Create a personal home phone and address.

  27. Select Next.

  28. For each student, select a single option. Alternatively, select Check all to apply the same option to all students.

    • Select Repeat if the student is repeating the classification.

    • Select Withdraw if the student is withdrawing.

    • Select Graduate to reclassify the student as an alum.

      Tip: If your school uses a Single Sign On (SSO) for students, ensure your school has correct and current email addresses so you can contact students after they graduate. These email addresses will be used to login as alums. See manage authentication in bulk for Blackbaud ID.

    Note: When you select students, an * next to a name indicates the student isn't currently enrolled but is still associated with their original graduation class.

  29. Select Next.

  30. Review the list of graduating students.

  31. Select Next.

  32. Review the list of students who are repeating the classification.

  33. Select Next.

  34. Review the list of withdrawn students.

  35. Select Next.

  36. Review a summary of the bulk updates.

  37. Select Save & exit.

  38. Repeat for each of the highest classifications.

Note: When students graduate or are withdrawn, their parents are automatically reclassified with the Parent of past student or the Parent of alum role. However, their login access isn't removed, even if the student's access is removed.
