Potential Duplicate Users
Platform managers should regularly review profiles that appear as duplicates.
During enrollment and admissions season, consider reviewing potential duplicates more often.
Individuals with matching names, email addresses, or phone numbers are automatically considered potential duplicate users.

Select Core.

Select Potential duplicate users.

For each set of possible duplicates, the name of the newer user and the date the user was created appear in a column on the left.
Select an entry from the column to review the new profile and the older, existing profile that it seems to duplicate.

If multiple existing profiles appear to match the new user, a drop-down menu appears in the top right. This typically occurs when a grandparent, parent, and child have similar names (Sr., Jr., 3rd.)
Select each Existing user from the menu to compare them to the new one.

Compare the data for each set of potential duplicates.

Differences between the profiles are highlighted in blue.

For some differences, an indicator shows that existing data won't be removed when the new user is merged into the existing one and that new data will be added to the existing data.

To view a user's full profile in a new internet browser tab, select their User ID.

If the users are not a match, select Leave accounts separate.

If the users are a match, review the data for each field.

For some differences, you'll select which version you want to keep. For example, if the new user is "Bob Smith" and the existing user is "Robert Smith," select to keep the first name "Robert."

For some differences, you'll need to select the existing user's User ID to open the profile in a new browser tab. Then update the profile in a new tab before you merge the profiles. For example, you might want to add "Bob" as a preferred name (nickname).
After you update the existing profile to ensure the correct information is preserved or added, return to Potential duplicate users.

To permanently combine the users, select Merge accounts. The new profile is removed and the existing profile remains with the chosen updates.
Alternatively, platform managers can select Core, select Home, and then select Manage potential duplicate users from their admin Tasks.
Platform managers can review a list of users who were merged within the past thirty days.

Select Core.

Select Potential duplicate users.

Select to view the 30-Day History.
Users who were reviewed but kept separate do not appear in the list.
Some users may have duplicate profiles which aren't automatically detected by the algorithm. This typically happens when names, email addresses, or wireless phone numbers don't match.

From Core, use the People Finder to open the profiles of two users.
We recommend opening each profile in a new internet browser tab or window.

Edit one of the profiles to capture wanted information from the duplicate.
