Attendance Record Method

Determine whether attendance is recorded at one point during the day (Daily) or throughout the day (Per Period). The chosen Record Method will impact the Class Attendance Lists and Day Attendance Lists. The Record Method also affects the way the system calculates a student's Day Equivalent, a figure that gives Attendance Managers an understanding of how much of a day a student missed in a day.

  1. Navigate to Academics.

  2. Select Attendance and then Record method under Settings.

  3. Select the School Year.

  4. Find the appropriate school level and select Edit.

  5. Next, you will select the Attendance of Record.

    To record attendance per period, select Per Period. Choosing Per Period reveals the following options that affect the Day Equivalent calculation:

    • Number of classes in the student's day: The system will divide the number of classes a student misses by the total number of classes on the student's schedule that day to calculate the Day Equivalent.

    • Relative length of the classes in the day:The system will divide the total number of minutes a student misses by the total number of minutes a student was scheduled to attend class that day to calculate the Day Equivalent.

    To record attendance once per day, select Daily.

    • Choose the Group Type.

    • Select Offering to choose a specific section that records attendance, regardless of meeting time.

    • Select Meeting Time to choose a Schedule Set and Meeting Time that records attendance, regardless of section.

      By selecting an Offering or Meeting Time, you are indicating when an employee will take the Attendance of Record for the day. Instructors in other course offerings or meeting times are still able to take attendance, but their attendance records will not affect a student's attendance record calculations.

  6. Optional: Select Allow teachers to edit attendance entries during the day. This will result in the Take Attendance button changing to Edit Attendance. Teachers will be able to edit attendance entries for about 8 hours after attendance is taken or until midnight on that school day, whichever comes first.

    • For any student: A teacher will be able to modify any Attendance Reason and resubmit the attendance with the correction.

    • Only for students with faculty approved reasons: A teacher can only modify an Attendance Reason if Faculty Access is set to Yes. Otherwise, the option to change the Attendance Reason will be disabled.

  7. Select Save & Close.
