Record Security
Note: Don’t see this yet? In web view, bank security groups and user security are currently in Limited Availability (LA) for some of our customers.
From Control panel, Record security in web view, use bank security groups to categorize your bank accounts and determine the level of view and edit access. You can then assign users to those groups and ensure they access only the bank accounts you specify. This allows you to control which bank accounts a user can access by creating or editing bank security groups and assigning users to these groups accordingly. This helps in ensuring that users only have access to the specified bank accounts, maintaining data integrity and confidentiality within the system.
You can also manage signature, account, and project security which gives specific users permission to use only the signatures, accounts, and projects you specify.
Previously, you worked with these settings from Administration, Set up system security in database view. Note that you can still view bank security groups in the database view as read-only.
Note: For those of you who worked with Treasury permissions in web view, you managed bank account permissions within the Treasury role. Now, you'll manage these permissions from Control panel, Record security.
From the Bank security groups tab, view a list of existing groups or add new ones. Select New, enter a name and description, choose view and edit access, and save.
Tip: Since you'll likely have numerous bank security groups, we recommend using descriptive names you can easily identify.
Use the menu next to each group in the list to quickly edit or delete.
After you work with groups, you'll assign users as necessary. This ensures users access only the bank accounts you specify. As people join or leave your organization over time, you'll need to maintain access.
From the User security tab, search for and view the list of existing users. From the menu of a user, select Manage bank security groups and select (or clear) groups as necessary.
For a consistency, choose which signatures a user can access and use. From the User security tab, search for and view the list of existing users. From the menu of a user, select Manage signature security and select (or clear) signatures as necessary.
To ensure data integrity and confidentiality, determine which accounts and projects a user can access. From the User security tab, search for and view the list of existing users. From the menu of a user, select Manage account security or Manage project security. You can then grant or prevent access to all or selected accounts and projects.
If you need to add a user who can see the data in Financial Edge NXT, but not modify it, from the menu of a user, select Assign view-only access.
A view-only user can also be restricted by group rights. If you add a view-only user to a group with rights only to Accounts Payable, they will only be able to see data in Accounts Payable and no other functionality.
However, adding a view-only user to a security group that has add, edit, or delete rights to records will not increase the user's rights.
