Create Sample Import File

Create a sample import file to use as a template when you format import data in another application, such as Excel. The file includes headers that identify the fields available for the selected record type.

Note: Headers identify the fields in an import file so Financial Edge NXT can match the data with the correct fields on records. Headers can be the first line of an import file, or you can create a separate header file.

  1. From the Import list, select Add.

  2. Under Basics, select the import type. The import type determines the field categories available in the sample file.

  3. Enter a unique name and a description.

  4. Set whether other users can run or modify the import.

  5. Select Next.

  6. Under Parameters, select Create.

    • Select Include selected fields in the file to include only fields you select manually under Fields. Use this option when you plan to update existing records with the header file.

    • Select Include required fields in the file to include the fields required to save the selected record type. Use this option when you plan to import new records with the header file.

    • Select Include all fields in the file to include each available field once. To use a field multiple times, add it manually and add extensions.

  7. The Export table entries with option is read-only.

  8. Under Match records in the import file with existing records by, select the type of ID to identify records in the header file.

  9. Under Field separator and Text qualifier, select the separators and qualifiers to use in the header file.

  10. Under Fields, map the fields in the sample file to their corresponding Financial Edge NXT fields. Accurate mappings help prevent exceptions and place imported information in the correct records.

  11. Select Save. You return to the Import list.
