Generated Invoice Drafts in Payables
Note: Don't see this yet? This feature is in Limited Availability (LA) and is releasing in waves. During the LA, we'll review and implement participant feedback to prepare for general availability.
Generated invoices are draft invoices that serve as the starting point for creating final invoices. When you choose to generate a draft, you upload an invoice (that you've already scanned or downloaded).
Using Microsoft's Azure AI Document Intelligence and Blackbaud AI, key data points are extracted and added to the new draft including requestor, invoice number and date, description, due date, purchase order number, date created, and created by. Uploaded invoices are attached for a quick preview. You can then review the draft to verify extracted details alongside the default information from the vendor record.
From Payables, Invoices, under Generated drafts, you can view a list of existing invoice drafts or generate new ones. Search by full or partial invoice number, or sort and filter the list to quickly locate details.
Tip: If you enabled an inbox for generated invoice drafts in Settings, Payables, Document Intelligence, Enable inbox, invoice details are extracted to generate invoice drafts. These drafts also display under the Generated drafts tab. You can quickly identify them by reviewing the Created by and Sent by columns in the list. Select Email history to review all emails your Payables inbox received, including emails that didn't generate a draft.
Use an invoice draft's menu to convert the draft to a new invoice record or delete if necessary.
Tip: When you choose to convert from a draft's menu, you can review and make any updates before converting. This is especially helpful when a draft's status is Take action. Otherwise, if the status is Ready to convert, you can move forward from the context menu or select the checkbox next to one or more drafts to convert individually or in bulk.
Work with columns to organize information visually, making it easier to find, compare, and analyze drafts. Under the Attachments column, open a quick view of a draft’s attachment to scan it at a glance.
