Post Dates and Transaction Dates

Post dates and transaction dates directly affect the activity in General Ledger.

Post date

The Post date is the date\fiscal period to which the transaction posts to General ledger. The date on which the transaction is actually posted to the GL does not affect when the activity will show in General Ledger; this is determined only by the date in the Post date field.

When you want to change a post date for an invoice, you should consider the following:

  • Invoice status. Is it already approved? If so, some users cannot change the invoice.

  • Invoice post status. If the invoice is already posted, then it will need to be deleted so that a reversing entry can be created. You will then need to recreate the invoice with the correct post date.

  • Payment post status.If the invoice paid, you will have to void the payment first.

Transaction date

The Transaction date, also referred to as the "document date," is the date the transaction was created. The Transaction date is normally the original document date (i.e. the original invoice date) or the date the transaction was recorded in the database.

Note: These two dates do not have to match, but transaction and post dates in different fiscal periods may cause subledger reconciliation issues.
