Standard Invoice Records in Receivables

To open an invoice record, select it in the list of invoices from Receivables, Invoice under Standard. Overview displays for you to view and edit additional info. You can also add a line item for the client to increase the amount of the invoice for a billing item.

  • Payments and credits — Displays the line items applied to the invoice.

    Tip: In database view, the invoice record displayed applied payment and credit line items, as well as all available payments and credits that you could apply to the invoice.

  • Add line item — Add line items for the invoice to increase the total amount the client owes for billing items such as a flat fee (for example, a shipping charge) or a variable fee (for example, two tickets for $10). For more details, see Invoice Line Items in Receivables.

  • Reverse — To reverse an invoice and generate a return for the client, select Reverse. After confirming the reverse, the return record displays. For more details, see Returns.

    Tip: When you want to remove an invoice but still need to track it, reverse the invoice. After you save the return, you can access it on the client's record under Activity.

    When reversing an invoice to add a return:

    • You must have applicable permissions.

    • You can only generate a reversal when partial reversals don't exist for the invoice.

    • The client's status must be Active.

    • The invoice must have at least one line item.

    • The invoice's balance must be greater than $0.

  • Overview — Review the cards for info about the invoice's balance, client info, line items, payments, and credits. You can also view and add notes for the invoice.
