Sync Employee SSO Data With HR File

Employee HR data automatically updates in GrantsConnect when an applicant signs in using Single Sign-On (SSO) or when an automated job runs. Certain criteria must be met to sync data via the automated job.

What to expect

  • Employee HR data automatically updates when applicants log in using SSO.

  • GrantsConnect also runs an automated job every two hours to sync this data with the HR file in CSRconnect.

  • Updated data will only appear in applications that haven't yet been submitted.

    Tip: Once an application's submitted, this data will no longer be updated. The applicant's HR data will continue to update as long as it meets the criteria outlined for data refresh. However, changes won't be reflected in submitted applications.

Data refresh rules

An automated job runs every two hours to sync applicant data with the HR file in CSRconnect. When it runs, this data will update in GrantsConnect as long as it meets the following criteria:

  • Applicant must have at least one active application where they are the main applicant (not a collaborator).

    Warning: This data won't update if the only application they're associated with is archived or is tied to an archived program.

  • The client must have an affiliate ID.

  • The client must be active.

  • Applicant must have an SSO ID.

  • Applicant's data has not been updated within the last 48 hours. Every time this job runs and the rules above are true, this 48 hour clock restarts.

If all of these rules are met, the applicant's data and Employee SSO field data in unsubmitted applications will automatically update. If not, their data won't refresh.
