Set Up a Cycle Funding Cap

You can set a maximum funding amount for a program cycle. When a cycle funding cap is active, applicants are prevented from applying or copying an application once the cycle's available funding has been used. Depending on the configuration, applicants see a summary of available funding capacity while they apply.

Prerequisites

You must have permission to edit the program's cycle settings.
The cycle must use a single application currency.

Note: If the cycle already has applications in more than one currency, cycle funding cap configuration is unavailable.

Configure a cycle funding cap

Navigate to the Grant Manager Portal and sign in.
Select Program Setup in the side navigation, then select Grant Programs.
Select the ellipsis icon next to the program and select Edit program.
Select Cycles, then select the pencil icon next to the cycle to open the cycle modal.
Under Cycle Funding Cap, turn on cycle funding caps.

Note: If the cycle has applications in more than one currency, the funding cap setting is unavailable. All applications in the cycle must use the same currency before you can set a cap.
Enter the Cap amount. The minimum value is 0.01.

Note: Applications in a capped cycle must use the same currency as the funding cap. The cap calculation does not perform currency conversions.
Select the Cap currency.

Note: If the cycle already has applications, the currency selector is limited to the currency those applications use.
(Non-individual programs only) In Cap applies to, select how the cap tracks usage:
- Applicants — Each applicant's funding usage is tracked independently.
- Organizations — Funding usage is tracked across all applicants from the same selected organization. The cap applies only to the exact organization selected; parent and child organizations are not included.
Note: For individual programs, this field does not appear; the cap automatically applies to applicants.
(Optional) Select Show to applicants to display cap summary information when applicants are applying. This includes the total cap amount, amount used, and remaining amount.
Select Save.

Note: Cycle funding caps are optional and must be configured by a manager. If you enable a cap on a cycle that already has applications, those existing applications immediately count toward cap utilization. This may leave limited or no remaining capacity.

How the cap is calculated

The cap tracks counted application activity in the cycle. For each application, the calculation uses the highest-priority available value:

The awarded amount, if the application has been awarded.
The recommended amount, if funding has been recommended but not yet awarded.
The requested amount in all other cases.

Imported applications and applications that already exist in the cycle count toward utilization when they are in a counted status.

Draft applications count toward cap utilization based on the requested amount.

Note: Declined, cancelled, and deleted applications are not included in the calculation. If an application is cancelled, deleted, or declined, its counted amount no longer consumes cap capacity.

Note: If the final recommended funding amount exceeds the cycle funding cap, the cap error appears in the Recommended Funding Amount modal.

What applicants see when the cap is reached

When a cycle funding cap is in effect, applicants see funding-cap guidance based on the cycle configuration. When no funding remains:

Draft applications count toward cap utilization, so a cycle can reach its cap before applications are submitted and may no longer accept additional applications.

The option to apply to the cycle is unavailable, and a message explains that the cap has been reached. Draft applications, imported applications, and existing applications contribute to the used amount.
If an applicant tries to copy an application into the cycle, the copy does not proceed and a message explains why.
If there is an error checking the funding cap during a copy, the applicant sees an error message that prompts them to try again.
