Phone donations

You can find all of the donations recorded by your Agents over the phone in the Phone Donations report. To navigate to the Phone Donations report, go to Analytics > Phone Donations. Donations will display in this report after they have been recorded by the Agent.

Key definitions:

  • Campaign Name: The campaign the agent was working on when they recorded the donation

  • Entity ID: The entity ID of the prospect the agent recorded the donation for

  • Entity Name: The first and last name of the donor

  • Agent Name: The name of the agent who submitted the pledge

  • Type: The type of donation, either Credit Card, Pledge, or Other

  • Credit Card: The agent processed the donation by credit card.

  • Pledge: The agent recorded the donation as a pledge. More information about pledges is visible in the Pledges report.

  • Other: The agent recorded the donation as "Other," typically used to indicate the agent captured the payment in some other way, such as by entering a credit card in a separate application or terminal.

  • Date: The date and time that the donation was recorded, displayed in your local time zone

  • Amount: The amount of the donation. If the donation was an unspecified pledge, this will display "Unspecified."

  • Recurrence: Either One-Time or Monthly, depending on what the agent selected

  • One-Time: The agent submitted a one-time gift or pledge for the donor.

  • Monthly: The agent submitted a monthly gift or pledge for the donor. For monthly credit card donations, the first monthly gift is processed when the agent submits the donation, and the same credit card will be charged for the amount of the gift.

  • Matching Gift: Agents have the opportunity to indicate whether the donor's employer offers a matching gift, based on their conversation with the donor. This will be Yes, No, or Not Sure, based on what was indicated by the Agent when recording the donation

  • Matching Amount: If the agent indicated that the donor's employer offers a matching gift, this is the amount the agent indicated that the employer will match

  • Company Name: The Employer, as provided by the agent when recording the donation. By default, the employer that is currently on the prospect's record is pre-filled in the form for the agent, but the agent has the opportunity to edit that while submitting the gift.

  • Designation X Amount: The amount for each designation. If the agentonly entered 1 designation, then the full amount of the gift will be indicated in the Designation 1 Amount. Agents can enter up to 5 different designations.

  • Designation X: The designation(s) selected by the agent. The agent can select up to 5 different designations.

  • Status: The review status of the donation record, either New or Reviewed.

  • Additional Info: Any additional info the Agent provided in the Additional Info box when submitting the donation.

Exporting Your Phone Donations

You can export donations directly from the Phone Donations report to generate a CSV version of the report that can be viewed in Excel. You can either Export All Donations or Export New Donations:

  • Export All Donations: Exports all of the donations from the Phone Donations report to a CSV file.

  • Export New Donations: Exports donations with a status of "new" to a CSV file. When you export new donations, you can choose to change the status of all "new" donations to "reviewed." This way, the next time you export the report you will only see the donations that are new since the last time you exported it.

Phone Donations are also provided as a part of the automated nightly export process.
