Online Registration Form Get Started
From the registration form designer, under Get Started, configure settings that will affect the entirety of the form, such as the name, payment processing, and allowances for unknown guests and additional donations. You can also set a default constituent code for all new constituents created through the registration form.
To access the designer, open an event record. Under Online registration forms, add or edit a form.

Under Internal form name, enter a unique and descriptive name that will help you identify it later. Consider using a name that identifies the purpose of the form, such as "Volunteer form."

Under Process payments with, choose the payment configuration for processing the registration fees and any additional gifts. You must add a payment configuration to the form if your event does not contain a fee of $0 (such as on a free events) or if you're allowing additional donations. For information, see Get Started with Payment Processing.
Note: Only payment configurations set to US dollars will display in the list.
Note: A payment configuration is how your organization's merchant account is set up. Some organizations may have only one configuration for one merchant account, but others may have multiple configurations.

Select Allow individual guests to be unknown, to let registrants sign up additional guests without providing the guests' contact information. This allows party hosts to complete their registrations even if they don't yet have all the information about their guests. After a registration processes, unknown guests appear on the host's registrant record under Party information as Guest of (host).

To allow registrants to mark all guests as unknown at once, select Allow all guests to be unknown. This adds a checkbox on the form for registrants to select if they want to skip adding contact information for all their guests. They can then skip to the billing section of the form to enter their billing contact information.

Select Apply a constituent code to registrants to apply a default constituent code to all new constituents created through the registration, then select a constituent code. For more information, see Constituent Codes.

Select Allow organizations to register to include an option for organization registrants. The form creates participant records for the organizations, which list the organizations as hosts, and the registrants as guests. The registration fees and any additional donations are associated with the organization participant records.
Note: The form searches for matches on organization names , and either updates their existing constituent records or creates new constituent records for them.
To associate a participation level with organizations, select Apply participant level to organization hosts, and then select a level.

Select Allow registrants to make additional donations to let registrants donate a gift of any amount as they complete their registration. Select a fund that the additional donation will be applied to.
Note: On free events, registrants can still give an additional donation, but a fund and billing detail fields must be set on the form to fully process the donation.
Note: Gift records are created for every additional donation that is given through an online registration form, but the amount will not apply to the event's goal.

To limit the total number of registrants — including hosts and their guests — who can sign up for registration fees through this form, select Limit capacity for this form and enter the maximum number in the Form capacity field. If an individual or organization signs up for more than one registration fee, they are counted more than once.
Note: The capacity for a form is separate from the capacity you set on the event record under Details.

When the form reaches capacity and no longer accepts registrations, a message appears in place of the embedded form. To customize the message, enter your text in the Message to display when the form reaches capacity field.
Tip: Include details in the message — such as the event name, date, and time — to identify the event when the form no longer appears.

When the form nears capacity, a message displays on the form if the registrant selects more fees than the amount remaining. To customize the message, select Form, and then Click to edit in the registration fees section of the form. Under Labels, enter your text in the Error message - Number of allowed selections exceeded field.
Note: If the form reaches capacity as someone attempts to submit their information, a system message appears to inform them that their registration did not process. However, if more than one person submits at the exact same time, each might possibly register — even if the form is at capacity.

Select Close registrations on a specific date to prevent users from registering through the form when a certain date has passed. Enter the date and time that you want to close the registration.

Enter a descriptive message that will display on your website in place of the registration form when the close date passes.
Note: If you change the close date or time while someone is actively registering, they can still complete their registration.
