Gift Batch Overview

With gift batches, you can track gifts as a group with a shared batch ID. The Batch numberis the unique ID specific to this batch.

Tip: Batch numbers are assigned incrementally following this pattern: GFT-Year-Numeral, such as GFT-2019-1, GFT-2019-2, and so on.

To help identify the batch, you can view information entered in the Description field, such as details explaining why you enter the gifts to your organization’s database. This description appears with the batch under Gift Management, so you can quickly view these details for the batch before you open it.

The current status of the batch.

• Unapproved — The batch is pending approval.

  Note: Gifts received from event registration are automatically placed into unapproved batches based on source, date, payment method, and payment configuration.

• Unapproved with exceptions — The batch contains data entry errors that prevent its approval.

• Approved — The batch is approved and records have been created for all gifts in the batch.

To help track progress as you add gifts to a batch, you can enter how many gifts you expect the batch to contain. If you enter this detail, Expected gifts shows how many gifts the batch contains compared to how many you expected. For example, if you expect 20 gifts but enter only 18, 18/20 appears.

If you don't enter an expected number of gifts, Total number of gifts shows how many gifts the batch currently contains.

To help track progress as you add gifts to a batch, you can enter the total value of all gifts you expect the batch to contain. If you enter this detail, Expected batch total shows the total amount for all gifts in the batch compared to the total amount you expected. For example, if you expect the gifts to total $995.00 but they only total $1,000, $995.00/$1,000.00 appears.

If you don't enter an expected batch total, Batch total shows the total value of all gifts the batch currently contains.
