Select from Query

Use Select from query to start your query with the records returned by another query. This option is available when you create a new query or edit an existing query. It helps you build targeted results without recreating the logic from a saved query.

“Select from query” behavior in database view versus web view

In database view Export, the only way to limit which records are exported is by selecting a query. For example, a constituent query determines which constituents are included in the export.

In web view, there are two ways to limit records:

  • Apply criteria directly to the export query.

    Because the “export” functions as a query, it includes the Criteria tab. Filters applied using Criteria determine which records appear in the results.

  • Select a saved query as the starting group.

    When selecting a query as the starting group, the query loads the records returned by that saved query before applying any additional criteria. If you change Select from query using Options later, the query updates the starting group the next time it runs.

Record visibility is also affected by record-level permissions, which determines which records are viewable when the query processes results.

Search for saved queries

You can search and select saved queries of the same type, even if you have no permission to run or edit those queries. Multi-row queries are the only starting group options for multi-row queries.

Note that results may not exactly match the saved query. Any criteria applied in the Query editor further restrict the starting group, which can produce a more focused result set than the original saved query.

Select a saved query as the starting group

  1. In the Query editor, open the query to edit it.

  2. Under Options, Select from query, enter a search term to find a saved query by name.

  3. Narrow the results as needed and filter by:

    • Format

    • Favorite queries

    • Queries you created

    • Queries created by a specific user

  4. Select the saved query to load it as the starting group.

  5. Add or adjust criteria in the Query editor.

  6. Select Save.

You can change the selected starting query on the Options tab at any time. When you update the starting group, the results may change because your criteria can further restrict the records.
