Guest Matching
Events can include a constituent’s record only once. When participants register guests online, Raiser's Edge NXT checks whether the guests are already event participants. If they are, their records are updated based on their current statuses. For example, if a company purchases a ticket for someone who’s already registered, Raiser's Edge NXT creates a named guest record for that person in the company’s party.
To resolve situations where a participant is both a constituent and a named guest, sort the participant list by name. Then, follow up with the hosts to confirm how they want to apply the extra registrations, such as toward other participants or as donations.
Note: To match guests to existing constituent records, configure registration forms to check for matches. For more information, see Constituent Matching for Participant Records.
Note: Named guests don't create constituent records in your database.
When a guest from an online registration is already a participant Raiser's Edge NXT updates their existing record as follows:
Existing participant — not marked as attending
If the guest is already a participant (and not a host or guest of another participant), but isn’t marked as Attending, their record updates to show they’re a guest of the host participant who registered them. Their RSVP status also changes to Attending.
Before: Wendy is a participant without an RSVP status.
Next: Zack registers Wendy as a guest.
After: Wendy shows as Zack's attending guest.
Existing participant — marked as attending
If the guest is already a participant (and not a host or guest of another participant), and is marked as Attending, their record updates to show they’re a guest of the host participant who registered them. To help you identify that the guest was already marked as attending (and likely already paid), they also appear as a named guest in the host participant’s party.
Before: Lina is an attending participant.
Next: Robert registers Lina as a guest.
After: Lina shows as Robert's guest and as a named guest in his party.
Existing host of another participant
If the guest is already a participant and the host of another participant, they also appear as a named guest of the host participant who registered them.
Before: John is the host of Kristy.
Next: Julian registers John as a guest.
After: John still shows as the host of Kristy, and also a named guest of Julian.
Existing guest of another participant
If the guest is already a participant and the guest of another participant, they also appear as a named guest of the host participant who registered them.
Before: Gary is the guest of Harry.
Next: Gustav also registers Gary as a guest.
After: Gary still shows as Harry's guest, and also a named guest of Gustav.
Existing guest registers as host
If the guest is already a participant and the guest of another participant, they show as the host of their guest and as a named guest of the original host participant.
Before: Gary is the guest of Harry.
Next: Gary registers Jerry as his guest.
After: Gary shows as the host of Jerry and as a named guest of Harry.
