Edit a Basic or Advanced List (EAP)

You can change an existing basic or advanced list.

  1. Schools participating in the early adopter program (EAP) can use a "sneaky link" url to access a new experience for managing basic and advanced lists. When you join the EAP, save the link to your browser's bookmarks.

A list of basic and advanced lists appears.

Note: Not in the EAP? See basic lists and advanced lists instead.

  2. Choose which Columns of data to show.

Then Filter and sort the list.

  3. Search for a specific list. When you find the list, select the ellipsis (...) at the beginning of its row.

  4. Select Edit. The query editor appears.

The options available are the same as when you create a new basic or advanced list.

  5. For Criteria, select an Available field.

Depending on the type of data, you might also select an operator and value. These options will vary by field. For example, "role equals student."

  6. As you select fields, your criteria appears on the right.

    • To reorder the fields, select the double-headed arrow. Then drag and drop it to the desired location.

Alternatively, select the ellipsis (...) and then Move up or Move down.

    • To change the operator or value, select the ellipsis (...) and then Edit.

    • To remove a field, select the ellipsis (...) and then Remove.

    • To nest criteria in a group, use matching sets of open and close parenthesis. Select the ellipsis (...) and then choose the punctuation.

    • To join criteria with "and", select the ellipsis (...) and then Add/Or.

    • To join criteria with "or", select the ellipsis (...) and then select Add/Or twice.

  7. For Output, select an Available field.

Fields used for report criteria are included by default.

  8. As you select fields, your output appears on the right.

    • To reorder the fields, select the double-headed arrow. Then drag and drop it to the desired location.

Alternatively, select the ellipsis (...) and then Move up or Move down.

    • To change the label for the field, select the ellipsis (...) and then Edit column heading. Enter your column heading and then select Save.

    • To remove a field, select the ellipsis (...) and then Remove.

  9. For Sort, select an Available field.

  10. As you select fields, the sort details appear on the right.

By default, fields are sorted in ascending order.

    • To reorder the fields, select the double-headed arrow. Then drag and drop it to the desired location.

Alternatively, select the ellipsis (...) and then Move up or Move down.

    • To sort order, select the ellipsis (...) and then Sort descending or Sort ascending.

    • To remove a field, select the ellipsis (...) and then Remove.

  11. For Options:

    1. Enter a name for the list. The name should remind you or other users of the purpose for the list.

    2. Select an existing category or create a new one.

    3. Select the Existing type of data.

    4. Enter a description. Consider describing when to use the list or the information it contains. If other users can access the list, the description gives them context to better understand its purpose.

    5. Determine whether to enable users to create mailing labels based on this list. See Mail labels.

    6. Determine whether to enable users to create mail merge jobs based on this list. See Mail merge.

  12. Select Results. The list runs. Large results are paginated.

    • Search the list to find specific results.

    • Reorder the columns. Select a column header. Then drag it to the desired location.

    • Select a column header to sort the list by that value. To reverse the sort order, select the column header again.

    • Export the data for use in a third party spreadsheet application, such as Microsoft Excel.

When you Export the list results, a comma separated value file (.csv) is downloaded to your local computer, based on your browser settings.

    • Refresh the data to see the latest results or to re-run the list.

  13. Select Save or Save and close.
