Academic Master Rollover

From year to year, academic group managers can roll over course sections, section identifiers, course page settings, faculty, rooms, blocks and/or schedules. Before you perform the master rollover, you must enter academic sessions for the upcoming school year.

Warning: Do not use the rollover if data managers plan to import this information instead. Do not conduct a master rollover twice for the same school level; this will result in the creation of duplicate course sections.

  1. Select Core.

  2. Select System tools.

  3. Select Master rollover.

  4. Select the From School Year which you are copying the data from, and then select the To School Year which you are adding the data to.

  5. Select View.

  6. Under Academic Groups, select Run next to the appropriate school level.

  7. Select the specific sections you want to roll over into the to year, or select Check all to select all available sections.

  8. Select Next.

  9. Select the specific information you want to roll over:

    • Identifiers: rolls over the section identifiers.

    • Faculty: rolls over the section faculty.

    • Blocks: rolls over the blocks with which the sections are associated.

    • Schedules: rolls over the schedules with which the sections are associated.

    • Rooms: rolls over the rooms with which the sections are associated.

    • Course page settings: rolls over and uses the date you're rolling over as the access date for group page access. If needed, you can select a different date from group page access.

  10. Select Next then Save & exit to complete the rollover.

Note: You must repeat these steps for each school level you want to roll over. Do not conduct a master rollover twice for the same school level; this will result in the creation of duplicate course sections.

If courses have Specify Credit Per Term selected, an Academic group manager can set which term(s) credits is awarded in and the number of credits per term in Academics, Scheduling , Course selection and schedules , Offer course.

Remember to complete this process each year after a course has been rolled over and when schools begin to offer them.
