Academic Profile Official Notes Tab
Note: This help topic covers the new 360 User Profile, which is being released to schools in waves starting in late March 2023. It displays in Academics when you select a student or alumnus via a list or by searching for their name in the People finder. The new profile contains the same features and capabilities as the older Academic Profile, but arranged under new tab headings in a more accessible format.
Faculty and staff can use official notes to record comments about students. Official notes can be read and e-mailed to users associated with the student (i.e. parents) and can also be monitored by members of a Monitoring Team.
The Official notes tab displays any official notes that have been written for a student. You can also add and edit official notes here.

To add an official note for the student:

Select + Add.

Select the School year, Session, and School level as applicable.

Select the Type of Official note you would like to add.

Depending on the note type, you may need to select the categories of users who should be able to view the official note (for example, "Advisor," "Student," "Teacher"). If a box is grayed out, those users are required to have viewing permission for this note type.

Select the Date either by using the calendar picker or entering the date in the format MM/DD/YYYY. Today's date is entered by default.

Enter a Title for the official note.

Enter the note in the text box.

Select where you would like the note to display by selecting Print on grade report and/or Print on transcript.

Select Save.

To edit an official note, find it on the list and select the context menu, then Edit official note. You can edit the School year, Session, and School level and select where the note will print.
Select Save when you are finished.

Official note approval takes place outside of the academic profile.
If there are official notes pending approval and you are a member of a Monitoring Team authorized to approve them, make sure you are in Academics, go to Communication in the top menu, and select Official notes. The Approve official notes tab will open by default.

School employees can access and edit different parts of a student profile depending on their assigned Roles and the school's settings. Roles can be modified and assigned to users in Core. For more information, see the help topic Roles list and tasks . For more information on access, security, permissions, roles, and task settings, visit the Security help landing page.
Users with the following Roles can see the Official Notes tab and add or edit Official Notes:
