Calculate Grades in Bulk

Use Bulk calculate grades to calculate grade report grades for multiple course sections at the same time. Select a grade column or skill, select the course sections, configure the calculation, and review the setup before calculating grades.

Before you begin

  • You can calculate one grade column or skill per run.

  • The Mark grades as Ready for review option displays only if Review dates exist for the selected marking period.

Calculate Grades for Multiple Course Sections

  1. In Academics, select Grades, Grades management.

  2. Select Enter grades by class under Related links.

  3. Select Bulk calculate grades.

  4. Select the School year, School level, Group type, Grade group, Marking period, and Grade column to calculate.

  5. Select Next.

  6. Select the course sections you want to calculate grades for. If needed, filter the available sections by Department or Course.

  7. Select Next.

  8. Enable Include previous section grades to include grades from a student's previous section when they've transferred between sections of the same course.
Example: A student enrolled in English 1 - A for Semester 1, then transferred to English 1 - C for Semester 2. If the Final grade formula is (Sem 1 grade + Sem 2 grade) / 2, enabling this option pulls the Sem 1 grade from English 1 - A into that calculation.

  9. Use Decimals to select the number of decimal places to show in the results.

  10. Enable Round if results should round up.

Note: Decimals and Round work together to determine how calculated grades are expressed. With Round enabled, results round up based on the Decimals setting. With Round off, results always round down. For example, with Decimals set to 0: if Round is on, a result of 76.5 rounds up to 77, and 76.4 rounds down to 76. If Round is off, both round down to 76. The same logic applies at any Decimals setting.

  11. If grade review is enabled, select Mark grades as Ready for review to indicate the calculated results are ready for a reviewer. A Reviewer must still mark grades as Reviewed in Grades, Grades management, Review grades.

  12. Under Grade value, select Add.

  13. Choose from the available Grade columns and Marking period gradebook grades that you want to use to create your calculation. Only previous and current marking periods and gradebook marking periods are available for selection.

  14. Repeat steps 12 and 13 to add all the Grade value items you want to use in your calculation.

  15. Set the Percentage for each Grade value item to indicate how much it accounts for the total grade. Then select Next.

  16. Review the calculation setup.

  17. Select Finish to run the calculation.

The calculation job is queued to run. You will land on the Bulk calculation status page.

Review Bulk Calculation Status and Results

  1. In Academics, select Grades, Grades management.

  2. Select Enter grades by class under Related links.

  3. Select More, then Bulk calculation status.

Bulk Calculation Statuses

Each job shows a Status of Processing or Complete:

  • Processing: the calculation is queued or still running.

Tip: The grid does not refresh automatically. If a row shows Processing, reload the page or return to it later to check whether the status has changed to Complete.

  • Complete: the job finished running with no errors or exceptions.

  • Completed with errors: the job finished running, but one or more course sections did not fully calculate. Select See details to see which sections were Not calculated or only Partially calculated. Expand a section to view the specific students that did not calculate and why.

  • Error: no grades were calculated. Select See details for more information.

Calculate Skill Ratings for Multiple Course Sections

If your school uses Mastery learning, faculty members may enter mastery skill ratings in gradebooks. Unlike skills, mastery skills and ratings cannot be included on grade reports. However, if you have mapped skills to corresponding mastery skill equivalents, you can pull mastery skill ratings from gradebooks into skills that may be included on grade reports.

For example, you can set up a simple calculation where 100% of a mastery skill rating is inserted into the corresponding skill grade. Or create a calculation where a skill grade is comprised of 50% of a Quarter 1 mastery skill rating and 50% of a Quarter 2 mastery skill rating.

If a skill is mapped to a mastery skill:

  1. In Academics, select Grades, Grades management.

  2. Select Enter grades by class under Related links.

  3. Select Bulk calculate grades.

  4. Select the School year, School level, Group type, Skills-based Grade group, Marking period, and Skill to calculate.

  5. Select Next.

  6. Select the course sections to calculate. If needed, filter the available sections by Department or Course.

  7. Select Next.

  8. Use Decimals to select the number of decimal places to show in the results.

  9. Enable Round if results should round up.

Note: Decimals and Round work together to determine how calculated grades are expressed. With Round enabled, results round up based on the Decimals setting. With Round off, results always round down. For example, with Decimals set to 0: if Round is on, a result of 6.5 rounds up to 7, and 6.3 rounds down to 6. If Round is off, both round down to 6. The same logic applies at any Decimals setting.

  10. If grade review is enabled, select Mark grades as Ready for review to indicate the calculated results are ready for a reviewer. A Reviewer must still mark grades as Reviewed in Grades, Grades management, Review grades.

  11. Under Grade value, select Add.

  12. Select a skill value to include in your calculation. Only previous and current marking periods skill values are available for selection.

  13. Repeat steps 12 - 13 to add all the Grade value items you want to use in your calculation.

  14. Select the Percentage for each Grade value.

  15. Select Next.

  16. Review the calculation setup.

  17. Select Finish to run the calculation.

The calculation job is queued to run. You will land on the Bulk calculation status page.
