Tuition Management

Tuition Management, another Blackbaud company, provides payment software and services for private schools and parents. It helps schools manage billing and collections. For details, visit the website.
A platform manager can manage this integration from Core. Select Settings, Blackbaud connections, and then Tuition Management.

If your school uses Tuition Management, a platform manager can set up this integration to enable a single sign-on (SSO). This enables each user to use a single user name and password for both Tuition Management and the Blackbaud's Education Management products.

Select Tuition Management Setup.

Enter your School Code, API and Secret Key from Tuition Management .

For SSO Active, select Yes.

Select which roles should participate.

Select Save.
Note: Tuition Management SSO automatically populates.
Next, add a link category to Core, so users can easily access Tuition Management.

From Core, select Content > Additional content types > Links.

Search for and select the link category.

Select Add to create a new link.

Enter a Title for the link.

Under Link, select URL and then enter the following URL but replacing "schoolname" with your school's myschoolapp.com subdomain. You can find this link on the Tuition Management SSO Settings screen.
For example, you'll want to modify this domain with your school's subdomain: https://schoolname.myschoolapp.com/app/sso/smart

Select Save.
Publish the link to your school's users in an easily accessible location, such as the Parent Resource board. Users must have the appropriate user roles (such as Parent or Parent of Incoming Student) to access the resource board
Note: The first time parents use the link, they may be prompted for their Tuition Management login credentials. For all subsequent logins, parents will be taken directly to their Tuition Management account. Specifically, if a Tuition Management account is created for a parent by the integration with Enrollment Management System, they may not need to log in. Accounts created by "spreadsheet" enrollment will need to log in.
You cannot test the SSO by impersonating a parent; only logged in users in the enabled roles will be taken to the Tuition Management screens.

Before Tuition Management can manage financial information for incoming or current students and families, a platform manager must export the information from Core. Four exports are available for schools for incoming and current students. User data, Billing data, Discount information, and Payment details can be exported after Generate now is selected. The integration creates a comma separated value (.csv) file which includes the fields Tuition Management requires.
While the User Export contains all necessary Tuition Management information, Payment Exports shows deposit amount paid details for each family, financial aid amounts awarded to families from Discount Exports, and a list of all required & optional fees from Billing Exports.
If your school uses Enrollment Management System, the exports include tuition and payment plan information for processed contracts.
Note: It also creates or updates a School Family ID. Although this ID does not appear in the user interface in the 'Blackbaud's Education Management' products, this ID is included in the export file. The ID is shared by all siblings in a family "under the hood." Additionally, the export file includes a Tuition Management School Code which identifies your school to Tuition Management.
You can then provide the export files to Tuition Management. Use the files to import data about families and students into Tuition Management for the fiscal year.

Note: This feature is intended only for schools with the contract integration, not the SSO.
Schools new to this integration need to ensure that the grade values in both Tuition Management and Enrollment Management System match. Grade Mapping is the best way to accomplish this.
This process must first be completed under Core > Settings > Blackbaud Connections > Tuition Management before contracts are generated so there is no risk of mismatched values, which lead to incorrect behavior and errors. If this step is not first completed or an un-mapped grade is selected, a warning message will appear to help remind you to first take care of this step so the grades can be validated.
Once you select a School Year, grades can be mapped for each of the previously established school levels for that academic year. Grades from Enrollment Management System cannot be changed here, only the Tuition Management grades can be set. Select Save to lock in the values once you're finished.
Keep in mind that any Tuition Management grade mappings that have previously been linked to a contract or fee type in Tuition Management are locked and do not allow additional changes to be made.

Similar to Grade Mapping, schools need to also ensure that financial aid values within Enrollment Management System match Tuition Management discounts through Financial Aid Mapping.
This process must first be completed under Core >Settings > Blackbaud Connections > Tuition Management before contracts are generated so there is no risk of mismatched values, which can lead to incorrect behavior and errors. After you select a School Year, financial aid value types set in Enrollment Management System appear along with the ability to match the corresponding Tuition Management Discount. Similar to Grade Mapping, financial aid types cannot be changed here and must be updated from Enrollment Management System Profile Settings.Select Save to lock in the values once you're finished.
Keep in mind that any Tuition Management financial aid mappings that have previously been linked to a contract or fee type in Tuition Management are locked and do not allow additional changes to be made.
