Add Learning Profile Forms for Students

Once your school has configured its Learning profile settings and created Learning profile forms, a Learning Profile Manager can add learning profiles to students' Academic Profiles.

Learning Profile Managers can either use learning profile form templates built within the system or upload external files if they do not want to use a template. When using a file upload, the file serves as the student’s learning profile form.

There are two ways to add a learning profile to a student's record:

  • From Academic Profiles from the People finder

  • From the Learning center

After a learning profile is added for a student, Learning Profile Managers can edit or inactivate it.

Add a Learning Profile to a Student

Note: You must be signed in as yourself (not impersonating) to see all fields when adding learning profiles.

  1. In Academics,

    • Select People finder and select a student. On the student's Performance tab, select +Add learning profile.

      OR

    • Select Learning center, then +Add learning profile to student. Search for and select a student.

  2. Select a Start on date for when the learning profile takes effect.

  3. (Optional) Select an End on date.

    Note: The learning profile becomes inactive on the End on date.

  4. Select the Learning profile type to add: Template or File.

  5. Select the Learning profile name.

  6. Complete the learning profile details:

  • Template: The form fields appear below. For fields that allow multiple selections, use + Select some values to select more than one value.

  • File: Under Learning profile file, select Attach file to upload the student's external learning profile document. This file will be encrypted and only visible to users with the roles selected in the Learning profile form setup.

  1. If the learning profile requires Approval, choose Ready for approval or Not ready for approval.

  2. If it does not require approval, set the Publish status to Ready or Not ready.

  3. (Optional) Under Supplemental files, upload additional supporting documents. 

    Note: Supplemental files are encrypted and only visible to Learning Profile Managers.

  4. Select Save.

Inactivate a Student's Learning Profile

Inactivating a student's learning profile does not delete the learning profile form or remove it from the student's record; it only marks the learning profile "Inactive" for the student.

  1. In Academics, go to Learning center and select Students with learning profiles.

  2. Find the student with an active learning profile and select Inactivate.

  3. Select a date on which the learning profile will no longer be active for this student.

  4. Select Save.

Copy a Student's Learning Profile

If you would like to copy a learning profile that has already been filled out for a student, follow these steps:

  1. In Academics, use People finder to search for and select the student.

  2. On the student's Performance tab, locate the Learning profiles tile.

  3. Select the context menu beside the learning profile and select Copy learning profile. This opens the Add learning profile screen with fields filled in based on the existing profile.

    Note: The following fields are not copied over: Start on date, End on date, and Publish selections (I.e., Ready or Not ready).

  4. Make selections and changes as needed. Select Save when you are finished.

Edit a Student's Learning Profile

To edit a student's existing learning profile: 

  1. In Academics, select People finder, then search for and select the student.

  2. On the Performance tab, locate the Learning profiles tile.

  3. Select the context menu beside an existing learning profile and select Edit.

    Note: You cannot edit the Student, Start on, or Learning profile.

  4. Make selections and changes as needed. Select Save when you are finished.

View Change History for a Student's Learning Profile

To view previous changes to a student's learning profile:

  1. In Academics, select People finder and locate the student.

  2. On the Performance tab, locate the Learning profiles tile.

  3. Select the context menu beside an existing learning profile and select See change history.

Generate Learning Profile Reports

Once your school has created learning profile forms and filled them out for students, you can generate lists and spreadsheets of students with learning profiles.

  1. In Academics, select Reporting, then Reports.

  2. Select Filter and set the Category filter to Learning Profiles.

  3. Select one of the following reports to run:

    • Learning Profiles - By Author

    • Learning Profiles - By Student

    • Learning Profiles - By Type

    • Student Learning Profiles

  4. The report generator will open in a new browser window. Set your parameters, then select Generate Report or choose one of the file export options.
