User Folders & Files

Platform managers can upload files to specific individuals. For example, managers can publish student comment forms to each specific student and their parents, or publish teacher evaluations to each specific teacher.

Security permissions

Platform managers can grant users the right to manage the organization structure of folders and file names (labels), and the right to manage the files themselves.

  1. Select Core.

  2. Select Security.

  3. Select Roles.

  4. Choose a Role whose members should have rights.

  5. Select Tasks.

  6. Search the list of tasks for all tasks related to "user files" and then grant or revoke rights for all members of the role. For more information, see Roles & personas.

  7. Next, create and label a structure of folders and file name (labels) to organize the content.

  8. Finally, you can customize access for specific folders and files. See Grant or Revoke Access to User Files for more detailed instructions.

Create an organizational structure of folders and files names

Before uploading or publishing user files, platform managers must create and label a file name structure to organize them.

  1. You'll do this in bulk from Core.

  2. Select System tools.

  3. Select Bulk upload.

  4. Select Manage user files.

Upload user files

After folders and file names are configured, platform managers can upload user files. You can do this in bulk or for individuals.

  • To upload files for multiple users, see Upload User Files in Bulk . For example, upload scores for a placement test taken by many students on the same day. Upload printable parking permits for parents in bulk at the beginning of the academic year

  • To upload files for a single user, see Upload User Files for an Individual. For example, upload a copy of an award letter for an individual at the time of the specific achievement.

Tip: We recommend you use the Medical features specifically designed for school nurses instead of uploading health information as user files.

View files and forms

Users can see their own Files & forms from the down arrow next to your name at the top of any school capability. Although each user can continue working on their own (or a child's) outstanding forms, the user can't delete or modify files that were previously uploaded.

Platform managers can view user files and forms.

  1. From Core, use the People finder to access the user profile page for an individual.

  2. Select Files & forms. The files and forms for the individual and any of the individual's children appear.

    You can select whether to show or hide completed forms from the list of files and forms.

  3. To see an uploaded file, select the file name. Or from the file's row, select the ellipsis (...) and then select View.

    The file is downloaded to your local computer based on your internet browser setting.

You can also complete some forms on a user's behalf.
