Manage Learning Profiles from the Learning Center

Learning profiles help your school keep track of student learning styles, unique needs and abilities, and other information relevant for optimizing learning environments. The Learning Center is the hub for all learning profile related tasks. From here, Learning Profile Managers and Staff can manage learning profiles that need attention, review learning profile analytics, send Official Notes, and more.

Learning Profile Managers are responsible for the setup and ongoing maintenance of learning profiles, while the Learning Profile Staff have the ability to fill out new learning profile forms for students. Additionally, learning profiles can be shared with teachers, parents, and students.

Once a Learning Profile Manager has set up the Learning profile form fields and created Learning profile forms, you can add a learning profile for a student via their Academic Profile or from the Learning Center.

Access to learning profiles is established in Learning profile forms. These forms can also be configured to require approval before a form is applied to students.

Tip: Learning profiles can be printed for one or multiple students via Reports under the Learning Profiles category.

Add a Learning Profile Form to a Student from the Learning Center

  1. In Academics, select Learning center.

  2. Select Add learning profile to student.

  3. Search for and select the student.

  4. Select a Start on date when the learning profile takes effect.

  5. Optional: Select an End on date.

    Note: The learning profile is inactive as of the End on date.

  6. Select the Learning profile type to add: Template or File.

  7. Select the Learning profile name.

  8. Complete the learning profile details:

    • Template: The form fields appear below. For fields that allow multiple selections, use + Select some values to select more than one value.

    • File: Under Learning profile file, select Attach file to upload the student's external learning profile document. This file will be encrypted and only visible to users with the roles selected in the Learning profile form setup.

  9. If the learning profile requires Approval, choose Ready for approval or Not ready for approval.

  10. If it does not require approval, set the Publish status to Ready or Not ready.

  11. (Optional) Under Supplemental files, upload additional supporting documents. 

    Note: Supplemental files are encrypted and only visible to Learning Profile Managers.

  12. Select Save.

Compose an Official Note from the Learning Center

  1. In Academics, select Learning center.

  2. Select Compose official note.

  3. Enter the following information:

    1. Student(s):Search for and select the student(s) and/or course roster(s) for whom the official note will be written.

    2. Type:Choose the appropriate official note type from the dropdown list. The Access group with access to the selected official note type is selected by default.

    3. Date: By default, this will be today's date. You can use the calendar picker tool to pick a different date, which will display alongside the note on the report card or transcript if you choose those options below.

    4. Select the users who should be able to view the official note. If a checkbox is grayed out, those users are required to have viewing permission for this note type.

    5. Note:Compose the message (use the available placeholders to personalize the official note).

      Note: The text box will use your internet browser's built-in spell check function.

    6. Print on report card and Print on transcript: Select these options if you would like to include the note on report cards or transcripts for the student(s).

  4. Select Send, Save As Draft, or Send for Approval (depending on the Official Note type parameters).

    Tip: Once an official note is saved as a draft, it can be found in Official Notes in the navigation bar using the draft status filter.

Review Learning Profile Analytics

The Learning Center offers several visuals for learning profile statistics at your school. Select the context menu within a tile to print a graph or download an image or spreadsheet of the included data. Select a data point within a graph to open a flyout with additional information, as well as links to student profiles and links to edit learning profiles.

Note: Flyouts are not accessible when impersonating.

  • Learning profile breakdown displays the number of students with an active learning profile by grade level as well as the percentage of the students in the selected school level with a learning profile.

  • Learning Profile Managers can use the Learning profile aging statistics to determine how often learning profiles are being refreshed.

  • Breakdown by author displays the number of learning profiles by author.

  • Top accommodations breakdown shows accommodations by grade level for the selected school. Select a Category to view the related accommodations and how many students have a specific accommodation. If there are more than 6 accommodations in the selected category, select View all accommodations to open a flyout displaying all of those accommodations.
