Grading Rollover

Grading managers and platform managers can roll over marking periods and formulas, grade reports, course credit information academic performances, and grade averages . Grading rollover may only be run once per school level.

Warning: In order to rollover marking period formulas that use gradebook grades, the gradebook rollover must be completed first and gradebook marking periods must be rolled over. Gradebook marking period dates can be adjusted after they are rolled over.

After the rollover, these items will need to be updated and grades for the upcoming school year selected to display. The school levels and applications are rolled over separately.

Note: The Grading Rollover can not be performed once marking periods have been added for the To year. Delete marking periods (if grades have not yet been recorded), then run rollover.

  1. To do this, select Core, System tools, and then Master rollover.

  2. Choose the year From which you are copying the data, and then choose the year To which you are adding the data.

  3. Select View.

  4. Under Master Rollover, find the Grading subheading and select Run next to the appropriate school level.

  5. Select Grading.

  6. Select Next. Then review the items included in the rollover.

  7. Select Save & exit.

Grading Rollover

Grading rollover can be performed simultaneously with Gradebook rollover in Grades management.

Use the rollover process to copy grading and gradebook settings from one school year to the next. Rollovers help ensure consistency across school years and reduce the need to recreate grading structures.

  • Each school level allows one grading rollover per group type per school year.

  • Each school level allows one gradebook rollover per school year for Academic groups.

  • Use the gear icon to view a different school year.

  • A green checkmark indicates rollover is complete for the group type and school level.

Important Rollover Order

If you plan to perform grading and gradebook rollovers separately, you must complete the gradebook rollover first. This ensures that marking period formulas that rely on gradebook grades roll over correctly.

Before You Begin

Grading rollover cannot proceed if marking periods exist in the destination (Copy to) school year.

  • If no grades have been recorded, delete the manually added marking periods.

  • After deleting them, restart the rollover process.

Perform a rollover

  1. In Academics, select Grades, then Grades management.

  2. Under Rollover, select Get started.

  3. Select Copy previous.

    Note: To set up grading information from scratch, see Define grading setup for next year from scratch.

  4. Under Copy from, select the Academic year you want to copy settings from.

  5. Under Copy to, select the Academic year, School level, and Group type you want to copy settings to.

  6. Select information to copy:

    • Grade groups, marking periods, grade columns, and formulas

      Note: Grading rollover cannot proceed if marking periods were manually added to the Copy to year. To proceed, delete the manually added marking periods (if grades have not been recorded), then perform the rollover.

    • Gradebook marking periods (Academic groups only)

  7. Select Next.

  8. On the Gradebook marking period dates tab, edit dates as needed.

  9. Select Next.

  10. On the Grading marking period dates tab, edit dates as needed.

  11. Select Finish.

Once rollover is complete, you can edit gradebook and grading information in the new year as needed.
