Void Payments in Receivables

From Receivables, Payments, you can void a posted payment to reverse the journal entry. When you do this, you can select to add a bank adjustment for the payment amount or reduce the associated deposit's amount.

When voiding a payment:

  • You must have applicable permissions.

  • You can only void a posted payment once.

  • You can't void a payment when it's associated with a cleared or reconciled deposit.

  1. On the payment record, select Void.

    Tip: If the associated deposit is closed, you're prompted to open it.

  2. After confirming the void, you can add a bank adjustment to reverse the journal entry or reduce the deposit amount.

    • Add a bank adjustment for — Select this to add a bank adjustment in the amount of the payment. When you select this, the deposit amount remains the same and you post the bank adjustment from the bank record in Treasury, Bank accounts.

      Tip: If you select to add a bank adjustment, open the bank account from Treasury, Bank accounts. Under Register, filter or search to locate the adjustment. For convenience, these adjustments include the payment ID and a note the adjustment was created to offset the voided payment amount.

    • Reduce the deposit amount by — Select this to reduce the deposit amount by the payment amount.

  3. Enter void and post dates.

    Note: If a post date displays and you can't change it, this means that Do not allow post dates to be different than transaction dates in other Blackbaud systems is selected in General ledger, Settings, Business rules. For more details, see Business Rules for General Ledger.

  4. To complete the changes, select Void.
