Add Payments

Add payments in the way that fits your workflow so you can record revenue quickly and keep deposit details accurate.

Tip: Payments are called cash receipts in the database view.

  1. From a deposit record page, select Add on Payments. For details about adding a payment from a new deposit, see add deposits.

  2. Enter payment details, such as date, amount, and description.

    • Payer - Enter the customer responsible for the payment.

    • Category - Select the payment source, such as advertising fees or bake sale.

    • Payment method - After you select a method, related fields appear. For example, if you select Credit Card, enter card type, number, and expiration date.

    Note: General ledger shows the deposit post status and date. You cannot change this information.

  3. Enter distributions to allocate payment amounts to accounts and projects. You can include credit accounts, classifications such as grants or transaction codes, and custom fields for reporting. You can also distribute evenly or by percent.

    Tip: To save time, select More, Apply account distribution set. If you split the distribution, select the icon in the Split column, and then select More, Apply project distribution set.

  4. In Interfund entry set, select a set to balance accounts when debit and credit accounts are not in the same fund.

  5. Under Receipt, select the print status and enter receipt text, such as matching-gift instructions.

  6. To add custom fields, select Add custom field. Use custom fields to track additional details and narrow payment searches.

  7. Under Note, track internal details for your organization, such as follow-up instructions.

    Tip: You can include one note per payment.

  8. To save the payment and add another payment to the same deposit, select Save and add payment. To save the payment and add a new deposit, select Save and add deposit.

Copy Previous Payment

To save time when you enter multiple payments, copy an existing payment.

When a deposit has at least one payment, the last three payments appear on the right. If the payment you need does not appear, search for it. Select a payment to copy the date, amount, description, category, payment method, and distributions into a new payment, and then edit details as needed.
