Multiple Response Applicant Fields for Progress Reports

Multiple response applicant fields let grantmakers collect recurring updates from grantees without overwriting earlier responses. Each submission creates a new response record, which preserves historical data and supports accurate progress reporting across the life of a grant.

This capability enables consistent questions across request, progress, and final reports while maintaining a complete record of every submission.

How Multiple Response Fields Differ From Current Behavior

By default, applicant fields store a single response. When the same field appears on multiple forms, the most recent submission replaces the earlier value and updates it everywhere the field appears.

With multiple response enabled:

  • Each submission creates a new response.

  • Earlier responses remain unchanged.

  • Submitted forms continue to reflect the data entered at the time of submission.

This approach protects application data and supports time-based reporting.

How Multiple Response Fields Work

Each time an applicant submits a form that includes a multiple response field, Blackbaud Grantmaking creates a new instance of that field response. The system does not overwrite or sync responses across submissions.

Each response remains associated with the specific form submission and reporting period, which supports historical accuracy and auditability.

When to Use Multiple Response Fields

Use multiple response applicant fields when you need to collect the same information more than one time and keep each response.

Common use cases include:

  • Quarterly or annual progress reports

  • Final reports that repeat earlier questions

  • Recurring grant requirements

  • Long-term outcome tracking for multi-year grants

These scenarios benefit from preserved history and consistent reporting.

When Not to Use Multiple Response Fields

Use single response behavior when you need one current value.

Avoid multiple response fields for:

  • Contact or organizational information

  • One-time application questions

  • Data that drives workflow decisions based on a single value

In these cases, a single response keeps data clear and easier to manage.

Supported Forms and Configuration

Multiple response behavior applies to applicant fields used on recurring submission forms, such as progress reports. Use the same applicant fields across forms when consistent questions and comparable responses are required.

Enable multiple response only for fields designed to capture ongoing updates.

Reporting and Data Considerations

Reports return one record per response, not one record per application.

Plan reports to:

  • Filter by submission or reporting period

  • Analyze trends over time

  • Review historical responses without data loss

This structure supports compliance tracking and outcome analysis.

Common Use Cases

Multiple response applicant fields support:

  • Progress reporting at regular intervals

  • Final reporting using the same questions

  • Ongoing monitoring requirements

  • Long-term grant performance analysis
