Publish request form (i.e. Multi-stage Application)

On a Request, users will find the option Publish request form. The list of forms in the dropdown is based upon available request type forms that are attached to the program.

Stage 1/Stage 2 is now Multi-stage applications. Publish Request form was formerly called Generate Stage 2 application.

Note: A checkbox will be automatically selected that will send an email to the grantee based on what the organization has setup on their application form template that is set to active. It will also check what the organization has active at the program level. This setting can be changed when editing the Program under the Communications page. To Deactivate, select the option under the ellipsis.

Organizations can also send emails through the Generate option on a Request in the event no communication is set to active.

  • LOI (Letter of Intent)

  • Nomination

  • Other Applicant Form

  • Request

Multi-stage Application Workflow

Blackbaud Grantmaking continues to incorporate improved features and workflows to better enable customers to work with the Applicant & Grantee Portal. The Multi-stage Application workflow allows any Request record in Grantmaking created from a Stage 1-of-2 Application form from the Legacy Portal to publish the Stage 2-of-2 Application form to the Applicant & Grantee Portal.

To search for a Request created from a Stage 1-of-2 Application that has not had a Stage 2-of-2 form published yet:

  1. Launch and log into Blackbaud Grantmaking.

  2. Select Full search at top right.

  3. From the Full search screen, select Requests in the left panel.

  4. Once the Request filters appears, select Advanced at bottom right.

  5. From the Advanced search query, select the Table dropdown, Request, the Column dropdown, and select Stage_2_Pending_Flag. Select Insert expression.

  6. From the Insert expression window, select the Expression dropdown, equals, fill in the radio button for No, and select Save.

  7. Select the And button.

  8. From the Advanced search query, select the Table dropdown, Request, the Column dropdown, and select Stage1_Form_ID. Select Insert expression.

  9. From the Insert expression window, select the Expression dropdown, equals, select the second dropdown, then select the name of your Stage 1 form, and select Save

  10. Select Search. The results appear in Workspace.

To publish to multistage application:

  1. Using the steps above, locate the record in your workspace that need publishing to the Applicant & Grantee Portal.

  2. Once located, select the action menu button then View record.

  3. From the Request record, select Publish to multistage application.

    Note: For the button to work, the following information must be present in the related records to the Request: Primary Contact First Name, Primary Contact Last Name, Primary Contact E-Mail, Organization Name, Organization Street Address, Organization Country, Organization State, Organization Zip Code.

  4. From the Publish multistage form to new application window, select the Program dropdown, then the name of the appropriate program.

  5. Select the Cycle dropdown and the appropriate cycle; else, select <No selection>.

  6. Select the Request form dropdown and the name of the Stage 2 form you wish to publish. Select Publish.

    Note: Only Published Request-type forms will appear listed.

  7. A success message appears. Select Close.

  8. A green toast appears. Select the here link within the green toast to view results.
