Preferences settings

From Control panel, Settings, the Preferences tile accesses the following settings:

Reminders

  • Reply to email address: The email address used if the recipient selects Reply on their email application.

  • From display name: The name displayed in the From field of the email.

    Note: When the email is generated, the ‘from’ email address is mail@grantapplication.com. However, if the recipient chooses to reply to the email, the ‘Reply to’ address in the Reminder settings automatically populates into the ‘To’ field in the reply email.

Requests

  • Generate request reference number: Enables the options below to automatically generate a Reference number for Request records.

  • Assign reference number: Picks from the following options:

    • Number and prefix when approving requests: The reference number and prefix are generated when a record is approved.

    • Number and prefix when creating requests: The reference number and prefix are generated when a record is created/saved.

    • Number when creating/prefix when approving: The reference number is generated when a record is created/saved; the prefix is generated when the record is approved.

  • New value: The number used on the next auto-generated reference number. Once this value is auto-generated on a request, the value in this field increments by one. This means; meaning this field always shows the next value that is used in an auto-generated reference number. This lets you to change the number at any time to start a new numbering scheme. The label on this field changes to Current value if the user has deselected the Generate request reference number preference.

    • A user can enter a number with decimals. However, the next auto-generated number will be a whole number.

    • Leading 0's are preserved with or without a prefix.

    • Reference numbers do not need to be unique. However, using a previously used reference number displays a warning to the user.

    • Any number present in the field is retained if the auto-generate feature is disabled.

  • Prefix: This prefix will be added to the reference number according to the method selected Assign reference number. It is common to use the current year in this field. Leave this field blank be generate reference numbers without a prefix.

    Note: Prefixes will not be added to reference numbers that already contain the prefix.

    Warning: The Reference number for each Request record is limited to 20 characters. If the combined character count for New Value and Prefix exceeds 20 characters, each new Request record will automatically be populated with an erroneous value, and need to be fixed before saving the record. This is further complicated when Assign reference number has been set to Number when creating/prefix when approving, since this option can can cause the reference number to exceed 20 characters once the Request record has been approved.

Salutations

When you modify your salutations settings, existing records are not changed until you access, update, then save each individual record. This avoids overwriting any existing salutations that you have created and do not want to modify.

There are three salutations: Formal, Informal, and Addressee. Changing the formatting settings in these global preferences does not change the Contact record.

Use the radio buttons to select which option appears in the salutation.
