Move Applications Between Programs

Move an application to another program using Update program when the application is better suited for a different program, requires a different funding structure, or was submitted to the incorrect program. Use this feature when both programs use the same default application form and the application meets the required criteria.

Requirements

User permissions

You must have one of the following:

  • Workflow manager role permissions

    Tip: Turn on Update program in Workflow manager permissions to use this action outside the current workflow level.

  • Grant Applications - Can Access and Take Actions On All Applications

  • Grant Applications - All

Application criteria

The application must meet these criteria:

  • Status is Awaiting Review, In Progress, or Approved.

  • Status is not draft.

  • The application has no awards or payments.

    Tip: If unprocessed awards or payments exist, remove them before updating the program.

  • Both programs use the same default application form.

  • The application is for a grant program, not nomination program.

Update program

Follow these steps to move the application:

  1. Sign in to the Grant Manager Portal at yourcausegrants.com or your organization's URL with your Blackbaud ID (BBID) or Single Sign-On (SSO) credentials.

  2. Open Applications, find the application, select the ellipsis next to it, and select Update program.

  3. In Update Program, select the program to move the application to.

  4. Select the workflow level and program cycle.

  5. Select Save to move the application to the new program.

When the program updates

  • Submitted applicant forms present in both programs are saved.

  • Submitted grant manager forms present on matching workflow levels are saved.

  • GC-73 sends a notification to the applicant if the email template is turned on under Settings, System emails, and for the program the application moves to.

    Tip: The GC-73 email template is turned off by default.
