Exercise: Create a Selection with Ad-hoc Query and Consume the Selection with a Process

Step 1 -  Edit the ad-hoc query created in Exercise: Create an Ad-hoc Revenue Query

From the Analysis functional area, click Query to return to the Query page. Then select the 2008 Annual Fund Big Spenders query and click the Edit action. On the query editor, select the Set save options tab.

From the Analysis functional area, click Information library to return to the Information Library page. Then select the 2008 Annual Fund Big Spenders query and click the Edit action. On the query editor, select the Set save options tab.

Step 2 -  Edit the query properties to create a selection.

On the Set save options tab, select Create a selection?, the Create a static selection, and Show this selection in the Query Designer.

Step 3 -  Save and close the query; review the newly created selection.

To save and close the ad-hoc query, click Save. Then on the Query page's Selections tab, select "Revenue" in the Type field to filter the data list and click Apply. A 2008 Annual Fund Big Spenders (Ad-hoc Query) selection appears in the data list.

To save and close the ad-hoc query, click Save. Then return to the Analysis feature area and click View selections under Selections to access the Selections page. In the Record type column, select Revenue to filter the list and click Apply. A 2008 Annual Fund Big Spenders (Ad-hoc Query) selection appears in the data list.

Step 4 -  Utilize the selection within a Post to GL process.

When you run a Post to GL process to post revenue to the ledger, the accounts you specify are automatically debited and credited. In this step, we will provide a Post to GL process with a 2008 Annual Fund Big Spenders (Ad-hoc Query) selection to base the creation of the general ledger entries. The Post to GL process only creates the GL entries for revenue records provided to it by the selection.

Navigate to the Revenue functional area and click the Post revenue to GL task.

Step 5 -  Add a Post Revenue to GL Process.

Click the Add action to create a Post to GL Process that utilizes the static selection we just created. Use the table below for the process settings.

After you enter the value from the table above your Add a post to GL process window should look like the screen shot. Click Save.

Step 6 -  Start the newly added Post to GL process.

Click the Start Processaction to start the 2008 Annual Fund Big Spenders Post to GL Process. After a few seconds, you should receive a notification that the process succeeded, provided you have completed all the exercise prerequisites listed at the beginning of Exercise: Create an Ad-hoc Revenue Query

New Post to GL process

After you click the Start Process action, the Run post to GL process window appears. Simply click the Start button and don’t worry about marking revenue record posted or creating a selection from the results. After a few seconds, you are redirected to the 2008 Annual Fund Big Spenders Post to GL Process page.

Download the post file

Step 7 -  Click the Download post file action to review the posted records.

Click the Download Post File action to save a *.csv file containing the general ledger entries created by the Post to GL process. Notice how the rows in the file are the same revenue rows provided by our selection.
