Controlling Access to the Notes Tab

The Notes tab in each Constituent Profile lists any notes that administrators have recorded regarding that constituent. They might, for example, want to record a personal contact and/or the need for a follow-up. Normally, only administrators with access to Sensitive Data (the highest role in Contact Management) will be able to see this tab and access these notes. However, if you would like to grant access to administrators with lesser contact management roles, contact support to enable the following site option:

CONS_NOTE_TYPE_ENABLED – When set to TRUE, this site option permits you to classify notes as:

  • Normal Notes – administrators with at least the Contact Management > View Non-sensitive Contact Data No Tasks No Reports (or any role that is ranked higher) can view these notes

  • Sensitive Notes -- only administrators with the highest level of Contact Management permissions can view these notes

  • Private Notes -- only the administrator who entered the note can access it

When this site option is enabled, the tab will be visible to administrators who have the Contact Management > View Non-sensitive Contact Data No Tasks No Reports role (or any role that is ranked higher) – and they will be able to see any notes with the "Normal" designation.

Center Implications (for those using MultiCenter): Administrators in Center mode are further constrained by the fact that they will only see notes that are in the same security category as the center. That is, with this site option enabled, the Notes tab will be visible to administrators in Center mode who have the Contact Management > View Non-Sensitive Contact Data No Tasks No Reports role (or higher) and they will be able to view "Normal" notes if they are in the same security category as the center.
