To perform a Transaction Data Download

  1. From the navigation bar, go to Data Management >Import/Export.

  2. Click the All Data Sync Operations tab.

  3. In the search field, type Transaction Information Download and hit Enter.

  4. In the Action column for Transaction Information Download, click Run.

  5. On the Operation Information page that opens:

    1. Review the details of the Operation you have chosen.

    2. Provide an Operation Label to identify this operation in the list of Operation Results. If you do not enter a label, the operation type will serve as the default label.

    3. Provide a brief Description of the operation. This description will be displayed with the label in the list of Operation Results.

  6. Click Next.

  7. Verify that you have cross-references for any campaigns or events if you are planning to import the download file into an offline database. To see whether your campaigns have already been cross-referenced:

    1. Select Transaction Campaign from the drop-down menu of Available Cross-Reference Types.

    2. Click the Cross-References tab beneath the drop-down selector to view the list of all foreign transaction campaigns that have been mapped to Luminate Online transaction campaigns.

    3. Verify that the campaigns that you expect to appear in this download have cross-references if you are going to need them for a subsequent upload.

      • To change the foreign key value for a cross-reference, click the Edit button beside the existing cross-reference. Make your change on the configuration screen that opens. Click Finish to return to this step in your download.

        Note: The editing procedure only allows you to change the foreign key value that you have mapped to an existing Constituent360 value. For any other changes, see the next option.

      • To create a new cross-reference or to delete an existing cross-reference, click the Cross-Reference Types tab at the top of the application area and create an entirely new cross-reference or delete an incorrect cross-reference. Refer to Maintaining DataSync Cross-References if you need help. Navigate back to this step in your download when finished.

  8. Click Next.

  9. Resolve any New Registration Conflicts that are shown in the list that displays. Names that appear in this list consist of new registrations that appear to match existing records in either your online or offline database. You can resolve any potential matches by merging the records or by marking them as not a match. Refer to Resolving New Registrations for more details on this process.

    Warning: It is very important that you resolve any potential duplicate records before continuing with your download, so that you have the most accurate information possible for your download.

  10. Click Next.

  11. Review the details of your download again. If you have spent time establishing cross-references or resolving new registration conflicts, this step allows you to verify the schedule for this operation.

  12. Review the list of those who will be notified by email when this operation has completed and enter additional email addresses if you like. If adding multiple email addresses, place them on different lines or separate them with commas or semi-colons.

  13. Click the Submit Operation button.

  14. If the operation is scheduled to run immediately, click the Refresh List link at the top of the Operation Results page to update the Status of the operation. You may need to click the link more than once before the Status changes to running and then to succeeded or failed.

    Note: If the operation is large, you can return to the Operation Results page at a later time.

  15. Once the operation is complete, use the View Report action on the Operation Results page to view summary information about the download. The summary information will include:

    • Number of transactions with un-mapped campaigns or events

      Note: Remember that cross-reference mapping is not required unless you plan to use the download file(s) to upload information to your offline database.

    • Number of Cash donations made since the last Data Sync

    • Number of Ticket transactions since the last Data Sync

    • Total number of transactions in the download file

  16. Click Cancel on the Review screen when finished.

  17. To access the file(s) that were generated by the operation, click one of the following links in the Available Files column on the Operation Results page. The files will open in a program such as Microsoft Excel if you have that available.

    • donations.csv - contains the records for any donations that were processed since the last time this download was run. The first fields of a sample donations.csv file are shown below:

    • tickets_purchased.csv - contains the records for any tickets that were purchased since the last time this download was run. The first fields of a tickets_purchased.csv file are shown below:
