TeamRaiser Event Checklist - Post-Event

For the first 24 hours after the event, donors and participants are looking for instant gratification for their efforts.

So immediately, and through the weeks following your event, send communications to your team captains, event managers, and participants. During this time, fundraising is still open, so you also want to coach participants to reach their goals.

If you haven't yet, create special thank you emails and send them after a final review. Be sure to thank your team captains who have done a lot of work for your event.

What should I say?

In your post-event emails, include content such as these suggestions:

  • Thank them for participating!

  • Include a special message to team captains who do so much

  • Mention that final results and numbers are not ready, but will be sent later

  • Mention what the event accomplished (money for mission; awareness; growing volunteer base, etc.)

  • Push captains to continue reaching out to others to reach fundraising goals if not yet met (Fundraising does not stop on the day of the event, it will likely keep going for weeks after the event.)

  • Remind captains to check on any company-matched funding opportunities

  • Express excitement to work with them in future events

  • Include next year's event information

Thank you so much for making our <event> a successful event! Over <number> people came together yesterday at <location> to <type of event>!

We're still counting up the donations raised, but we can already see that we are well on our way to meeting our overall fundraising goal. Because of your efforts and those of your friends and family, we have furthered our efforts to <purpose of mission>.

Didn't meet your goal? No worries. Our online and offline donations are accepted through <date>. You still have time to send a final email to your friends asking for their support.

Please remind your participants to check with their employers to see if company-matched funding is available for their donations. We'll share the impact of what we achieved together when all the gifts are counted.

Thank you again for your time and efforts to further our important cause. Your participation in the event yesterday means that <purpose of mission>.
