Gift Tracking with Membership and Donation Forms

Gift tracking fields are values you set on a membership or donation form that automatically write information to gift records when a supporter submits a form. These fields help your organization track fundraising efforts and analyze giving patterns over time.

Campaigns

Campaigns are organized fundraising efforts that represent a broad initiative. A campaign may run for a limited period of time, such as a capital campaign to fund a new building, or remain open indefinitely to support ongoing operational needs. When a supporter gives through a form that includes a campaign, the campaign appears on the gift record.

Appeals

Appeals are the solicitations your organization uses to ask donors for gifts, such as direct mailings. When a donor gives through a form that includes an appeal, the appeal appears on the gift record to help your organization track how it asks donors for gifts.

Package

Applies to donation forms

Packages let you evaluate the performance of individual components within an appeal. By assigning each solicitation, such as donor-specific mailings, to a separate package, you can track historical and statistical results for each component instead of reviewing the appeal as a single unit. This helps you identify which solicitations perform most effectively during or after an appeal.

Note: To add packages to an appeal in the database view, select Appeals from Records.

Designations

Designations identify the specific fund, program, or area of financial need a gift supports. When a supporter gives through a donation form, the designation appears on the gift record, on the confirmation page the supporter sees after submitting the form, and in the thank you email they receive. This makes designations visible to supporters and helps your organization track where gifts are directed.

Note: Designations apply to a membership form if you enabled additional donations.

Gift Subtype

Applies to donation forms

Gift subtypes classify gifts for tracking and reporting. When a donor gives through a form that includes a gift subtype, the value is automatically written to the gift record. This reduces manual entry when you approve gifts in a batch.

A gift subtype can also define a GL Distribution, which associates financial account numbers with the gift type and subtype on a gift record.
