Scopes

Use scopes to create customized experiences for other admins, as well as limiting access to sensitive areas of your system.

A scope is a category applied to both admin accounts and other items in your system (i.e., portfolios, reviewer groups, conditional applications, and funds). Admins can only access items matching the scopes on their account.

Create a new scope

Go to Site, Configurations, Scopes.
Select Create New.
Enter information about the scope:
- Name: The name of the scope visible to administrators
- Applicant Name: The name of the scope if made visible to applicants . Without a name, this field will be identical to the Name field.
- Applicant Visible?: Select this option to make the scope visible to applicants
Select Create.

Edit or delete a scope

Go to Site, Configurations, Scopes.
Select a scope.
To edit the scope, make changes to the scope's properties, then select Update.
To delete the scope, select Delete This Scope.

Note: If you delete a scope, it doesn't deactivate or delete associated user accounts, portfolios, reviewer groups, or Conditional Applications. Deleting a scope only removes access to these items for users assigned to that scope.

See items associated with a scope

System Administrators can view all users, portfolios, and reviewer groups assigned to a particular scope for easy management.

Navigate to Site, Configurations, Scopes.
Select a scope.
Select the Associated Items tab.

From this page, you can see how many items are related to a scope. To update scopes on individual items, select the item and change its scope.

Update multiple scopes

To save time, system administrators can also update multiple scopes:

Go to Opportunity, Portfolios, Opportunities.
Select one or more opportunities.
At the bottom of the grid, select Act on Selected, Update Portfolio Scopes.
Select one or more scopes to associate with your opportunities, then select Update Portfolios.

Scopes in Stewardship Management

If you have Stewardship Management as part of your subscription:

Administrators: Scopes from Award Management carry over into Stewardship Management. If you want administrators to have different levels of access across both systems, create specific roles for Stewardship Management.
Funds: Funds do not automatically inherit the scope from their associated portfolio. To allow other administrators to access a fund, add a matching scope to the fund.
