Add Declaration Screen

The table below explains the items on the Add declaration screen. For information about how to access this screen, see Add Declarations.

Screen Item

Description

Reference number

Select the charity claims reference number for your organisation to associate with the declaration.

For information about how to configure charity claims reference numbers for your organisation, see the Revenue Guide.

If your organisation associates declarations with separate reference numbers, Her Majesty’s Revenue and Customs (HMRC) requires a separate form R68 Gift Aid schedule for each reference number.

Made

Select the date the constituent makes the declaration.

Start date

Select the date the declaration becomes active.

End date

Select the date the declaration is no longer active. If the declaration has no end date, leave this field blank.

After your organisation sends a letter to confirm an oral declaration, the constituent can cancel the declaration within a set grace period. If the constituent cancels an oral declaration within the grace period, enter the same date as the start date.

Indicator

Select how the constituent makes the declaration. You can select Written, Orally, or Internet.

If the constituent makes an oral declaration, your organisation must send a letter to the constituent to confirm the declaration in writing.

Source

Select how your organisation persuades the constituent to make the declaration. Your system administrator specifies the selections available in this field. Your organisation can use this information to determine which methods most effectively solicit Gift Aid declarations.

Scanned documents exist

If digital images of the documents associated with the declaration exist, check this checkbox. For example, if your organisation uses Blackbaud Gift Aid to manage and store your Gift Aid declarations and scanned images of this declaration exist, check this checkbox.

Pays tax

Select whether the constituent pays UK income tax.

Status

Select the status of the constituent, such as Employed. Your system administrator specifies the selections available in this field.

Sent

If the constituent makes an oral declaration, select the date your organisation sends a letter to the constituent to confirm the declaration in writing.

Returned

After your organisation sends a letter to confirm an oral declaration, the constituent can ccancel the declaration within a set grace period. If the constituent cancels an oral declaration within the grace period, select the date the constituent returns the completed letter to confirm the declaration.

Comments

Enter any additional information about the declaration, such as the reason given to cancel an oral declaration.
