Your constituents may use standing orders to donate to your organisation. A standing order is an instruction a constituent gives his bank or your organisation to initiate payments of set amount from his current account, on a regular schedule, to your organisation’s bank account. With a standing order, the constituent always controls the payment amount. With a standing order export process, you can export standing order information from your database into a comma-separated value (*.csv) file. With this file, you can create a document in another program such as Microsoft Word or Excel to set up standing orders with a specific bank. When you export standing orders, you can select to include all standing orders in your database or only a selection of standing orders created in Query. The process exports all standing orders that satisfy your export criteria and have not been designated as “setup” on the payment record.
Note: You designate a standing order as “setup” on the record of the pledge or recurring gift. When “standing order” is selected as the payment method, the Standing order has been setup checkbox appears under Payment information.
Before you can export standing orders, the constituents must contact your organisation to make a pledge or recurring gift by standing order and initiate a payment transaction schedule. When you run the standing orders export process, you export the information necessary to set up standing orders with a specific bank. The bank uses this information to create standing orders for each pledge or recurring gift in the file and returns a data file when these transactions are ready to be updated in your database. To help your organisation and the constituent's bank match transactions, the program automatically generates a unique reference number when you add each standing order transaction. The standing order export process includes these reference numbers to identify transactions in the information sent to the bank. The bank can then include the reference numbers in the transmission files they return to your organisation.
On the Export Standing Orders page, you can view and manage the processes your organisation uses to export standing orders from the database. To access the Export Standing Orders page from Revenue, click EFT. On the EFT page, click Export standing orders.
The Export standing order processes grid lists the standing order export processes in the database. For each process, you can view its name, description, and output format. If the process includes only selected standing orders, the Selection column displays the name of the revenue selection included in the process. You enter this information when you add the process to the database. To update the information that appears in the grid, click Refresh on the action bar.
You can view additional information about a standing order export process, such as the status of its most recent instance or a history of previous instances. Under Export standing order processes, click the name of the process to view. The status page of the process appears. For information about the items on the status page, refer to Standing Orders Export Process Status Page.
Depending on your security rights and system role, you perform many functions to manage export standing order processes in the database.
Note: After you start a process, the program generates output based on the sites to which you have access.
