Batch Data Entry Screen
On the data entry screen, you enter information about each record in a separate row of the batch. From this screen, you can perform various actions associated with Batch entry. The options on the batch data entry screen depend on the selected batch type.
To access the batch data entry screen, select the batch on the Uncommitted Batches tab of the Batch Entry page and select Edit, Edit batch on the action bar of the Uncommitted batches grid.
Note: If your organization integrates with Blackbaud Internet Solutions, you can also access the batch data entry screen from the Web Transactions page. On the Transactions tab, select the web batch to edit under Uncommitted batches and select Edit batch on the action bar.
The toolbar and menu bar above the grid on the batch data entry screen contain buttons that represent common tasks related to data entry. The tasks that appear depend on the selected batch template. If your organization integrates with Blackbaud Internet Solutions, you can download web transactions from Blackbaud Internet Solutions into uncommitted batches. In Batch entry, you can manage these batches and view the details of each transaction. If your organization integrates with a Microsoft Exchange server, you can download calendar items, email messages, and contact record updates from Microsoft Outlook into uncommitted batches. If your organization integrates with MatchFinder Online, you can download matching gift company information from MatchFinder Online into uncommitted batches. For information about how to manage data in a MatchFinder Online batch, see MatchFinder Online Integration Batch Data Entry Tasks.
In the grid, you enter information about the records you enter into the batch. When you commit the batch, each row of the grid that contains information becomes a record. For more information about the batch data entry grid, see Batch Data Entry Grid.
Note: To help you comply with the Payment Card Industry Data Security Standards (PCI DSS), when you enter transactions in a revenue batch, you can enter full credit card numbers for pledges or recurring gifts only. When you enter a credit card number for a pledge or recurring gift and leave its row, only the last four digits of the credit card number appear in the row. When you save the revenue batch, the program sends the credit card numbers to the Blackbaud Payment Service for secure storage.
Note: To support data entry for credit card transactions processed externally, when you enter credit card numbers with four digits or fewer, other credit card information is not required.
When you enter payment records in a revenue batch, the Constituent Window is available. The Constituent Window displays information about the constituent associated with the selected payment. For information about the Constituent Window, see Constituent Window.
When you download email messages from Microsoft Outlook into an Exchange email batch, the Message Detail Window is available. The Message Detail Window displays information about the message, such as the content, constituent, and user name associated with the selected message.
