Set Up Program Cycles

A program cycle defines the time window when applicants can submit initial applications. Well-structured cycles help you manage intake volume, align funding activity, and improve reporting consistency.

  • Cycles control when applications open and close.

  • Cycles support budget and funding source alignment for awards and payments.

  • Cycles provide clear reporting periods for audits and year-over-year analysis.

Tip: Every program requires at least one cycle before publication. Even continuously open programs benefit from meaningful cycle boundaries, such as annual reporting periods.

Set Up Cycles for a Program

  1. Go to Grant Programs.

  2. Create a new program or edit an existing one, then open Program Details, Cycles.

  3. Add and configure cycle records to define duration, available budgets, and default budget selections.

  4. Save the cycle and program changes.

Cycle Setup Tasks

Use these resources based on the task you are completing:

  • For first-time setup or additional intake windows, follow Add New Cycles.

  • To adjust dates, budgets, or defaults, continue with Edit Cycles.

  • To stop new initial submissions by timeline, use Close Cycles.

Cycle Planning Best Practices

Use non-overlapping cycle dates to prevent submission conflicts. Before publishing updates, verify that each cycle includes the intended budget availability and default budget settings so downstream award and payment creation follows expected rules.

Note: When a cycle is closed, applicants cannot submit new initial applications to that cycle. Follow-up forms may still be available based on workflow configuration.
