Watchlists
Watchlists support due diligence by helping your team screen organizations and contacts against selected compliance lists, including OFAC-related sources.
After screening, you can review potential matches, mark false positives, and keep an auditable history of watchlist checks.
Each watchlist check creates Activity records for the selected organizations or contacts. If a hit is found, the Activity due date is set to five days from the check date so follow-up work can be tracked and completed.
Use Settings for related setup context, and use Tax status lookup when you also need tax-exemption verification as part of due diligence.
Note: Managing the Watchlist preferences and executing Watchlist Actions are available only to users with the Client Admin, Grants Manager, and Grant Associate Roles. If a user’s role does not include this permission, Watchlist menu options are hidden from the user.
Manage watchlists
Use Manage watchlists to control which lists are checked, how matching is evaluated, and whether related records are included.
To open this form, select Control panel, Settings, then on the Organization tile select the menu
, Manage watchlists.
Configure list settings
-
Threshold: Enter a value from 0.75 to 1.00. The default is 0.85.
Tip: Lower threshold values increase sensitivity and typically return more potential matches.
-
Lists: Select the watchlists to include in screening. Default search lists are OFAC, BIS, OSFI, UNSL, FBI, Interpol, and TEL.
Configure organization search options
-
Match organizations on: Name, AKA, and Legal Name are always included. You can also include City, State, and Country.
-
Include parents and subsidiaries: When enabled (default), related parent and subsidiary organizations are screened with the selected record.
-
Include related contacts: You can include Primary contacts, Employees, Request primary contact, and All affiliated contacts.
-
Include closed affiliations: When enabled, closed affiliations are included in related-contact and related-organization matching.
-
Match related contacts on: First and Last Name are always used. Optional criteria include Social Security Number and Birth Date with year-range tolerance.
Configure contact search options
-
Match contacts on: Uses the same contact-matching logic as related contact matching.
-
Include related organizations: Include a contact's primary organization or all affiliated organizations, with an optional closed-affiliation setting.
-
Match related organizations on: Uses the same organization-matching logic described above.
Check watchlists
Check watchlists screens selected organizations or contacts using your configured watchlist preferences and creates Activity records with the results.
Run this action from organization or contact search results, or from an individual organization or contact record. After confirmation, the system evaluates each selected record against each enabled list.
If no hits are found, the Activity is created with a Done status. If hits are found, the Activity is created with an Open status unless the record was previously marked as a false positive.
Check watchlists summary
After screening completes, the summary view displays results by record type, with organizations and contacts listed alphabetically and related records grouped under each parent record.
Note: Hit details are expanded by default, while non-hit details are collapsed by default.
Note: A related record can include a hit even when the main record does not; in this case, the main record remains visible for context.
Verify hits
Use Verify hits to review detailed match information that is not fully visible in the summary grid.
From this view, you can mark a result as a false positive and add notes that are appended to the related Activity records.
Review watchlists summary
Review watchlists loads the most recent watchlist Activity for each selected record and ignores older watchlist Activities for that record.
This summary is similar to the check summary and includes additional context such as Last checked and Closed by.
-
Open summary: Includes records with open hits and records that have not yet been checked.
-
Not open summary: Includes records where no hits are currently open based on the latest watchlist Activity.
