Download Applications

You can download applications from GrantsConnect to share them with decision‑makers or store them outside the platform. You can download a single application or several at one time.

About downloads

When you download an application, the platform creates an Application.pdf file. You can also export additional files for emails, activity trail, and form uploads. See the full list below.

Application.pdf

This includes:

  • Application Details such as application ID, submission date, applicant names, and the current workflow.

  • Award and Payment Details such as the award amount, number of payments, and payment amounts. If the program cycle uses both cash and in‑kind budgets, the file includes a section for each.

  • Form Responses for the forms you select.

Application emails.pdf

This includes:

  • Preview of emails that GrantsConnect sent about the application.

  • Email ID, subject, recipient, date sent, audience, and description for each email.

Tip: This file does not include emails sent by grant managers.

Activity.xlsx

This includes:

  • Application ID, activity ID, type, description, workflow level, who updated it, impersonation details, date and timestamp, and any comments.

Tip: This file is only available for single application downloads.

Attachments folder

This includes:

  • Form upload fields

Tip: This folder does not include files added in the Attachments area.

How to download

You can download a single application or export multiple in bulk.

Download one application

  1. Sign in to the Grant Manager Portal at yourcausegrants.com or your organization's URL with your Blackbaud ID (BBID) or Single Sign-On (SSO) credentials.

  2. Open Applications.

  3. In the Applications list, use one of these options:

    1. Select the ellipsis next to the application, then select Download application.

    2. Open the application, select the ellipsis, then select Download application.

  4. On the Download Application screen, select the forms to include.

  5. Select the data to include, such as award and payment details, emails sent by GrantsConnect, or the activity trail. The activity trail helps with auditing.

  6. Select which attachments to include:

    1. Include all attachments to download form uploads and any files added to the application.

    2. Only include form upload attachments to download files uploaded through forms.

    3. Do not include attachments to skip attachments.

  7. Select if masked form data should be included.

  8. Select Download.

The Application.pdf file automatically downloads. If you chose to export extra data or attachments, all files are downloaded as a zip file (Application.zip) that includes the Application.pdf and an Attachments folder for form upload files. Files added manually in the Attachments area do not appear in this folder.

Download applications in bulk

Tip: You can download up to 10 applications at the same time. All selected applications must belong to the same program.

Warning: The total download cannot exceed two gigabytes. If you see a message about the size limit, reduce the number of applications and try again.

  1. Sign in to the Grant Manager Portal at yourcausegrants.com or your organization's URL with your Blackbaud ID (BBID) or Single Sign-On (SSO) credentials.

  2. Open Applications.

  3. Select Take action in bulk, then Download.

  4. Select the checkboxes for the applications to download, then select Download.

  5. On the Download Applications screen, select the forms to include.

  6. Select if masked form data should be included. You cannot include activity trails, emails, or other data when downloading in bulk.

  7. Select Download.

The Application.zip file automatically downloads. It includes the Application.pdf file for each application and any files for extra data you select for export.
